Project Officer – GEF2025

Organisation Description:

The European Chamber of Commerce in Vietnam (EuroCham) is the voice of the European business community in Vietnam. EuroCham was established in 1998 and is a members-based, independent, not for profit organisation of European companies who are investing in Vietnam, for the benefit of all. With more than 1,400 members and 19 Sector Committees, EuroCham is one of the biggest foreign Chambers of Commerce in Vietnam and among the 5 largest European Chambers of Commerce worldwide. EuroCham represents a plethora of sectors and sizes ranging from SMEs to MNCs with a very strong business network in both Vietnam and Europe. Acting as an intermediary between our members – the business community – and local, national, regional, and European authorities, EuroCham advocates on its members’ behalf, to generate improvements in the business environment, raise awareness on key issues and disseminate information on issues relating to doing business in Vietnam.

The Green Economy Forum (GEF), one of EuroCham’s flagship events, brings together key stakeholders from businesses, government, and non-governmental organisations from Europe and Vietnam to engage in meaningful discussions and advocate for sustainable practices, policies, and initiatives.

MAIN DUTIES

Job Title:

Project Officer-GEF2025

Reporting to:  

GEF/GEFE Project Manager cum Head of Marketing and Communications, based in Ho Chi Minh City

Job Summary:

To support the GEF2025 event in organisational and administrative aspects 

Location

Hanoi – Vietnam

Frequent travels to Ho Chi Minh City

Type of Contract

Fixed-term contract until 31 December 2025 upon successful completion of 1-month probation

Working Relationships:

  • Internal: Board of Directors (BoDs), Business Associations, Sector Committees within EuroCham, and EuroCham team
  • External: EuroCham members, Vietnamese Central and local authorities, Ministries and agencies, relevant organisations

Main Duties and Key Performance Indicators:

Undertake the preparation and event execution of the GEF2025, in coordination with EuroCham team, including but not limited to the following tasks:

  • Supporting the GEF Project Manager with event logistics procedures.
  • Closely liaising and following up with potential and involved services suppliers.
  • Taking charge of the event registration process and promptly engaging with the event participants.
  • Handling logistical aspects of the GEF Sessions with internal and external relevant stakeholders.
  • Supporting GEF Project Manager in identifying and soliciting sponsors, as well as event participants.
  • Assisting GEF Project Manager in drafting and developing promotional materials, correspondences, reference documents, and reports throughout the lifecycle of the event.
  • Coordinating and nurturing constructive and cooperative relationships with all key stakeholders (both internal and external) involved with the project.
  • Supporting other administrative and project management tasks.
  • Assisting GEF Project Manager with other duties as delegated.

JOB REQUIREMENTS

Education Background:

Bachelors’ degree or higher in Business Administration, Project Management, International Relations, Event Management or in a related field.

Work Experience:

Minimum of 2-3 years’ relevant and hands-on working experience in project management or event organisation.

  • Project management skills:
    • Proven ability to execute, and monitor projects within scope, and timeline.
    • Client and service oriented: Committed to building strong relationships with stakeholders and ensuring their satisfaction throughout the project lifecycle.
    • Good budgetary control and negotiation skills with a constructive approach.
    • Event organisation experience is an asset, especially large-scale events.
  • Communication and interpersonal skills: Excellent written and verbal communication skills with the ability to build rapport and effectively collaborate with diverse stakeholders.
  • Organisational and time management skills: Strong organisational skills with the ability to prioritise tasks, manage multiple deadlines, and work effectively under pressure.
  • High attention to detail: Meticulous and detail-oriented with a commitment to accuracy and quality.
  • Demonstration of flexibility: Be prepared to undertake additional responsibilities as assigned by the Management Team.
  • Proactive mindset and problem-solving skills: Ability to identify, analyse, and resolve problems proactively and creatively.
  • Proven ability to work effectively as part of a team.
  • Motivation and initiative: Self-motivated and proactive with a strong motivation to learn and grow.
  • Strong commitment and faithfulness to EuroCham and prioritising the Chamber’s interests.

Languages:

Good command of both Vietnamese and English, both written and orally.

Software and Package Skills:

  • Computer Literacy: Outlook, Word, Excel, Power Point (Publisher is a plus).
  • Design Software Proficiency: Design experience (Canva) is a plus, not a must have.
