Administrative Assistant

VVAF first returned to Vietnam in 1981 when the first of many delegations arrived to engage discussions with the government of Vietnam on issues of common concern, and to begin the long slow road to healing and reconciliation.  In 1994, with the lifting of the US embargo against Vietnam, VVAF quickly established a representative office in Hanoi, and have been active in humanitarian assistance programs continuously since that time. Their involvement has grown substantially since then, and by mid 2010, VVAF have been active in 18 provinces with a variety of assistance programs.

They are now seeking motivated and qualified candidate to fill the Administrative Assistant position for the organization.

Duty Station: Hanoi
Duration of Assignment: 01 year   

Duties and responsibilities:
- Welcome visitors to the office and make them feel comfortable
- Answer the phone and pass through and/or take and pass messages
- Filing & distributing incoming and outgoing messages, faxes, letter, mail, e-mail and other documents on a daily basis
- Control and follow up news posted on VVAF bulletin board etc.
- Ensure that the tracking system for incoming & outgoing mail is regularly updated
- Ensuring that the reception is always clean and presentable
- Act as the secretary to the periodical administration meeting
- Manage timesheet record and update leave balance of all office staff
- Translation service as requested
- Manage & update VVAF library
- Responsible for booking air tickets for VVAF staff going to field trips locally and abroad
- Control of office safe
- Handling the office cash-on-hand
- Serve as personal secretary to the Country Representative (manage schedule, and other admin tasks assigned by Country Representative)
- Keep updated records of the payment and receipt
- Other administration tasks as required

Qualifications requirements:
- Good communication and pleasant interpersonal skills as to work as a public face of the organization
- Good customer service skills
- At least one year working experience in the same position; working experiences with international organisation is a preference
- Proficiency in using computer software such as MS excel, MS word, internet explorer
- Good written and oral knowledge of Vietnamese and English.
