Office Manager

Overview:
ISET is an international research organization working to integrate science and policy research with on-the-ground activities and projects through innovative action research programs. For more than a decade ISET has been working to address disaster risk reduction, water scarcity, eco-system management, and climate change adaptation issues in South and Southeast Asia.  Most recently, ISET has taken a leadership role in theorizing and laying practical groundwork for climate change adaptation, or climate “resilience” in the regions where it works.

ISET will be opening a Vietnam Country Office in Hanoi to support our urban climate change adaptation research programs.  Currently, main ISET projects are in the cities of Da Nang, Can Tho, and Quy Nhon, with a need for regular interaction with National Ministries and NGO partners in Hanoi.  We are seeking a qualified Vietnamese Office Manager with strong English language skills to join ISET in November or December 2010.

Position Description:
The Office Manager will assist in locating an ISET office and establishing office space in late 2010 and early 2011.  Subsequently, he or she will be responsible for running daily office operations and administration, including but not limited to basic accounting, regular communications with ISET partners, and translation for non-Vietnamese staff.  Occasional travel within Vietnam may be required.

This is a full-time position with a three-month probationary period.  Specific duties include:
- Performs clerical and secretarial duties in support of ISET associates and senior staff
- Furnishes and acquires supplies for office space
- Corresponds regularly with ISET partner, both Vietnamese and international;

Manages office expenses
- Assists senior staff in compiling financial reports and organizing data for the Grants Manager's review
- Provides English translation of documents and during meetings as needed for non-Vietnamese ISET staff
- Monitors incoming calls, messages and mail, handling as many responses as possible independently
- Arranges travel and meetings for ISET associates and senior staff
- Edits Vietnamese reports as necessary
- Assist in organizing and making arrangements for workshops and events

Qualifications:
- Bachelors Degree or equivalent
- Strong English language skills, and strong writing skills in English and Vietnamese
- 3-5 years relevant administration work experience preferred
- Experience in basic accounting/finance
- Strong computer skills, specifically in Microsoft Word and Excel
- Experience working with Vietnamese government Departments and Ministries preferred
- Strong communication skills
- Organized, detail-oriented, and efficient
- Proven ability to manage and prioritize time-sensitive tasks
- Flexible and positive approach to problem solving in a collaborative team environment
- Willingness to complete a variety of tasks to achieve group goals
- Exposure to client service and project-team environments
- Independent self-starter who proactively seeks to expand and apply knowledge
- Demonstrated interest in non-profit sector and/or issues of global climate change

Salary and Benefits:
Negotiable.  Hire will be brought on as an ISET consultant for an initial, 3-month probationary period, with performance review and discussion of long-term, multi-year engagement at the end of that period.
