TITLE: Secretary/Receptionist
REPORTING TO: Programme Administrator
LOCATION: Hanoi, Vietnam
ASSIGNMENT LENGTH: 6 months with possibility of extension based on performance and fund availability

JOB DESCRIPTION:
The Secretary/Receptionist will provide administrative and staff support to the general office daily operations. Working under the direct supervision of the Programme Administrator, this position provides all necessary office administrative support and in particular the following responsibilities.

RESPONSIBILITIES:
1. Answer telephones, transfer to appropriate staff member, record messages
2. Meet and greet guests and visitors.
3. Excellent typing skills and creating documents using Microsoft Office.
4. Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and systematic filing.
5. Organize hard copy and electronic filing system.
6. Setup and coordinate meetings and conferences.
7. Support staff in assigned project based work.
8. Other duties as assigned, including getting quotations, verifying sources of information of goods, and other purchasing related tasks.

QUALIFICATIONS:
- Minimum one year office administrative support experience is preferred. 
- Some college preferred. 
- Very good in English and Vietnamese.
- Excellent organizational skills (oral and written) and the ability to excel at details, multi-tasking and working under pressure.  
- Must have some experience and skilled in the use of software programs such as MS Word, ACCESS, PowerPoint, and Excel.
