Testing/Office Assistant

Institute of International Education (IIE), one of the world’s largest and most experienced non-profit organizations in the field of international education is seeking enthusiastic and motivated candidates to fill the following vacancy:
Testing/Office Assistant – 01 full-time post based in Hanoi Office

Job description:   
Principal Responsibilities: Assisting with testing activities and managing the front desk operations
1. Assist the Testing Officer on all aspects of testing throughout the year as needed (75%)
- provide test information to students and institutions via email, phone, and mail
- collect TOEFL ITP fees
- work with hotels and institutions for test site set-up
- administer or proctor ITP TOEFL tests as needed
- administer or proctor ETS tests (TOEFL ITP, SAT, GRE, and LSAT) during the week and at the weekend, if required
- monitor test-takers at all times to eliminate cheating; deal with cheating as necessary
- receive and return test materials in a timely and secure manner
- keep test materials in a secure environment at all times
- assist in scoring tests
- assist the Testing Office with score reports and administrative procedures
- verify score reports of test takers
- handle light financial and accounting work for the ITP program

2. Manage the front desk operations on a daily basis (15%)
- Receive visitors and guests to IIE
- Send and receive mail/faxes and distribute to staff as appropriate
- Manage the telephone system including answering and transferring calls

3. Other duties (10%)
- Assist in preparations for IIE’s higher education fairs
- Promote IIE-Vietnam’s public events and outreach activities through the database and local contacts
- Train and work with interns in the front office
- Provide other services as needed

Qualifications:
- Bachelor’s degree in a relevant field
- At least two years of relevant professional experience.
- Attention to detail and ability to work in a fast-paced environment.
- Flexibility, initiative and good problem-solving skills.
- Ability to meet deadlines, to multitask, and to work independently as well as in a team. 
- An advanced level of English proficiency in both speaking and writing
- Excellent interpersonal, organizational and cross-cultural skills.
- Commitment to the principles, purposes, and ethics of IIE.
- A Vietnamese national is preferred. 

Supervision: Receives guidance and day-to-day requests from the Testing Officer. Other activities will be supervised by the Associate Director and Director of IIE.
Pay rate: Negotiable
