“Football for All in Vietnam” Project (FFAV) – Football Association of Norway

FFAV project was initiated by the Football Association of Norway (NFF) in 2001. FFAV works with a goal to contribute to building a sustainable sport structure in Vietnam by establishing a network of non-competitive grassroots football clubs with an emphasis on life skills integration into club activities. At the moment we have 171 football clubs with more than 16,000 girls and boys enjoying non-competitive football with integrated life skills activities every week.

We are now looking for potential candidate for the position of Admin Officer. Please read the following details:

JOB DESCRIPTION

Position: Admin Officer
Reporting to: FFAV Vice Director
Location: Hue city
Contract type: Definite - 8 months

1. MAIN PURPOSE OF THE POSITION:

The Admin Officer is responsible for maintaining day to day administrative services in order to meet organization policy as well as Government legislative requirements and to support municipal operation.

2. PRINCIPLES GUIDING THE POSITION:

  • As an employee of FFAV the position adheres to the FFAV’s Term of Employment, Code of Conduct and all relevant government laws and regulations of Vietnam.
  • The position has to behave according to NFF and FFAV’s values, principles, rights-based and participatory approach and gender sensitivity.
  • Central documents for the work in Vietnam are FFAV’s Project Document, time plan, approved project proposals, work plans and budgets, partners and donors agreements.

3. RESPONSIBILITIES AND TASKS:

  • Supervising administrative services within the office
  • Manage the filing, backup/storage and security of documents
  • Respond to inquiries (transportation/accommodation arrangement, office maintenance, office stationary…)
  • Manage the repair and maintenance of computers and office equipment.
  • Maintain insurance coverage.
  • Obtain for permits and licenses.
  • Assist with preparing and advertising of contract documents
  • Purchase office/football equipment
  • Be responsible for the car and booking of car for FFAV staff
  • Be responsible for IT issues for FFAV
  • Be responsible for the FFAV stores room
  • Maintain staff leave (annual leave, sick leave …)
  • Provide translation and interpretation if required
  • Any other task as assigned, relevant to competence and to FFAV
  • Perform other related duties if required

4. CRITERIAS:

  • Bachelor’s degree or equivalent of English/ Administration/ HR management
  • 2 years’ experience on administration works, preferably on the administration works in NGOs/international organisations
  • To be proficient with Microsoft Office (Word, Excel, NAS and Shared Point) - Shared point is a part of Office 365 package which allows people to share information with others and have remote access to server)
  • English fluently both spoken and written
  • Excellent writing skills in Vietnamese
  • Good organisational and time-management skills
  • Flexibility and the ability to multi-task
  • The ability to work under pressure and to tight deadlines
  • Have knowledge on: Office administration; Relevant municipal legislation, policies and procedures; Vietnamese labor code, tax law
