UNDECIDED PRODUCTIONS

Undecided Productions specialises in cultural exchange projects with a focus on ecology and gender issues. We work with artists, writers, designers and researchers who use a variety of mediums and methodologies.

Registered as a Belgian not-for-profit association (ASBL) since 2017, and in Vietnam as an International Non-Government Organisation since 2023, we aim to craft productions and exchanges that vibrate internationally, supporting creatives in projects from residencies to publications, performances, gatherings and all ‘round good times.

ADMINISTRATION CONSULTANTS

Undecided Productions has recently registered as an International Non-Governmental Organisation, becoming the only INGO registered in Vietnam in the industries of Sound Recording and Music Publishing Activities (Hoat dong ghi am va xuat ban am nhac), Creative, Arts and Entertainment Activities (Hoat dong sang tac, nghe thuat va giai tri) and Cultural Education (Giao duc van hoa nghe thuat).

In order to support us as we enter this new administrative system we are seeking Administration Consultants to advise us on the set-up and of the INGO and to provide punctual ongoing support throughout the year.

The Administration Consultants are key to the pleasant functioning of the Undecided Productions INGO in Vietnam. The Consultants work in close collaboration with Undecided’s co-founder Elise Luong, in contact with colleagues in Belgium, local Project Partners and various Ministries in Vietnam.

We are aware that we may need multiple consultants, so please do not hesitate to contact us even if the list of tasks are out of your range.

PROFILE

  • At least a Bachelor's Degree in business administration, business management, law, finance, accounting or in relevant fields.
  • At least 2 years of experience as a project administrator, assistant or equivalent.
  • Productive experience working with the Ministry of Labour, Ministry of Communication and/or Ministry of Foreign Affairs
  • Good knowledge of the administration processes of office licensing, bookkeeping, permit applications etc.
  • Fluency in both English and Vietnamese, French a plus.
  • Proficiency in using Microsoft Office tools.
  • Experience working in the creative industry is a plus, on an international scale a mega plus.
  • Good communication skills.
  • Interest in the Vietnamese and International creative sector.
  • Kindness, patience, curiosity.

WORKING CONDITIONS

  • Flexible availability, regular initial meetings with punctual ongoing follow-up over an expected period of two years.
  • Hour, half-day or day-rate payment scheme.
  • Based in Hanoi, Vietnam.
  • Citizenship or legal permission to work in the country.

TASKS

ADMINISTRATION

  • Office address registration and signage.
  • Finalising registration requirements for INGO operation in Vietnam.
  • Management of program licensing.
  • Certificate of Stamp registration.

ACCOUNTING

  • Financial reports, expenses reporting, bi-annual reports.
  • Invoices management. Petty cash transactions and tracking.
  • Tax Code Registration and purchase of Token Key.
  • Bank Account Registration. Liaise with banks on related issues.
  • Basic bookkeeping.

HUMAN RESOURCES

  • HR policies and templates.
  • Social insurance code and contribution registration.
  • Initial labour declaration, policies and report preparation.
  • Employee records maintenance.
  • PIT and SHUI compliance support.
  • Payroll policy, reports and payslip preparation.
  • Work Permits, visas and TRCs for foreign employees and volunteers.
