WVV has a representative office in Hanoi, which is the work-base of more than 70 staff from Hanoi office; the Administration unit also provides support to WVV staff across the country as required.

WVV receives funding from different 16 support offices and thousands of donors, sponsors worldwide.  To maintain the relationship with these partners, WVV receives and facilitates hundreds of visitors annually to their funded project/programs activities to monitor and evaluate the impact of their support. Each trip being coordinated and facilitated effectively is the main responsibility of this position.


Purpose of the position:

  • To support the ministry of WV Vietnam in maintaining a high level of support services in the area of office administration and guest relations.
  • To lead, manage and coordinate administrative functions under leadership   the People and Culture/Administration/Security Director to ensure that the Administration

Key responsibilities

  • Manage office support services including transportation, purchases, property maintenance, insurance, communications, hospitality to visitors and housekeeping
  • Coordinate and schedule WVV’s vehicles, meeting rooms, equipment and all other World Vision Vietnam National Office assets effectively
  • Manage and maintain inventory of supplies, computer, equipment and all other properties that belong to WVV. Vehicles and office equipments are properly insured and regularly maintained for prolong use. Physical verification of assets is done on an annual basis.
  • Follow and control security procedures on asset safekeeping, ensure office security, and safety of the staff.
  • Coordinate various purchase needs of the office in accordance to standard WV policies and procedures.
  • Monitor the application of purchasing policies and procedures.
  • Negotiate and make contracts, maintenance agreements and purchase orders for all sectors within budget and cost-effectively.
  • Provide supervision and leadership to the Procurement function and Central Purchase Committee to ensure that quotations and bids for purchases over US$5,000 are complete, adequate and in accordance with WVV policies and procedures.
  • Make tickets and accommodation bookings, and other logistic arrangements as required by all visitors, including Support Offices in accordance with visit plans/itinerary to ensure Visitors’ stay is comfortable.
  • Develop and manage Department objectives and plans in line with the Office’s strategic objectives. Valuable inputs are provided to the Department Objectives. Prepare & regularly monitor Department budgets to ensure effectiveness and efficiency of the department.
  • Identify, train and supervise Administration Department staff
  • Identify and apply ways and means to save on administration costs.


The following knowledge, skills and abilities may be acquired through a combination of formal schooling, self-education, prior experience, or on the job training:

  • A Bachelor degree.
  • Good spoken and written Vietnamese and English skills.
  • Good interpersonal and communication skills.
  • Good supervisory skills.
  • Strong organizational and management skills
  • Good computer skills (Word and Excel).
  • Be able to work well in a team environment.
  • Good knowledge of office management and administrative functions
  • Knowledge of office machines, such as fax, telephone system, and photocopier is an advantage.
  • Cross-cultural sensitivity, flexible worldview and emotional maturity.
  • Knowledge and understanding of legal aspects concerning contracts, office assets and security.
  • At least 4 years relevant experience in an agency of similar scope and budget.
