Administration Officer

JOB ANNOUNCEMENT

Norwegian People's Aid (NPA) is an Oslo-based Humanitarian organization working in the field of Mine Action. We are seeking for qualified, enthusiastic, experienced Vietnamese national applicants for the position of an Administration Officer (AO). The post holder will be working in Legacy of War Coordination Center (LWCC) project office in Dong Ha, Quang tri.

Responsibilities

ADMINISTRATION

  • Be receptionist for LWCC project office, handle all incoming/outgoing telephone calls, faxes, letters, postal packages...etc.
  • Be responsible for all aspects of general office coordination
  • Maintain office calendar to coordinate the flow of work and meetings
  • Ensure proper office supplies and housekeeping service for NPA-LWCC project office
  • Book and coordinate travel arrangement for NPA-LWCC/DBU staff and NPA expats, visitors (including but not limit to visas, air-tickets, accommodation and other arrangements)
  • Facilitate organizing meetings, trainings and events
  • Do some background research on policies, procedures of mine action and INGOs’ operation in Vietnam

TRANSLATION & INTERPRETATION

  • Be interpreter for LWCC-DBU Project Office in meetings, workshops and conferences
  • Be tranlator for LWCC-DBU website
  • Be translator for all non-technical documents and project materials related to LWCC-DBU activities

HUMAN RESOURCES: Assist HRM Manager to

  • Prepare and follow-up procedures and paperwork for recruitment, contracting and leaving staff
  • Calculate payroll and arrange timely and accurate payment request of monthly payroll and prepare monthly payslip for NPA-LWCC/DBU employees.
  • Oversee social and health insurances, and other insurance benefits for the employees monthly and upon case-by-case basis with respecitive authorities in a timely manner
  • Oversee private Health-Accident Insurance, inlcuding but not limited to, timely update changes on staff list to Insurance provider, assists the employees in claim procedures, request scheduled payments as per contract and settle contract at due time
  • Track and report monthly timesheet for NPA-LWCC/DBU employees as NPA policy
  • Responsible for administering the personnel filing system, both hard and soft copies on Sharepoint

Required qualifications

  • Bachelor of English, or Economics with fluent English Speaking/writing skills (minimum IELTS 6.0 overall or equivalent)
  • Possess good analytical and Interpersonal Skills.
  • Good time management and organizational skills.
  • Able to handle confidential information appropriately.
  • Able to work under stress to meet tight deadlines and handling multiple tasks.
  • Self-motivated, independent and proactive
