Administrative Support

PyD Vietnam is now looking for a qualified volunteer to fill the position of Administrative Support for a schools-based prevention of gender violence project in Danang.

3.  Project Title:    Hanh Trinh Yeu Thuong (The Love Journey): Danang Schools-based Gender Equity and Primary Prevention of Gender-based Violence Project.
4.  Duration:    From April to December 2012 (extendable subject to availability of fund)

9.  Description of tasks:
Under the direct supervision of Paz y Desarrollo, the Volunteer will provide administrative support for the project in the following tasks:
•    Prepare contracts with local partner project personnel, including members of the Board of Management (BoM), coordinators and teachers;
•    Prepare list of participants, receipts, individual per diem, group per diem and other financial supporting documents, following project templates, for activities implemented in Danang;
•    Check the correctness of finance supporting documents approved activity budget, and support with the preparation of liquidation of activities;
•    Call for quotations and proposals, and prepare comparison tables for selection of suppliers;
•    Record and file project incoming and outgoing correspondence;
•    Update school implementation schedule when there is a change;
•    Set up and maintain the list of teachers, list of representative parents, and update when required;
•    Photocopy required documents;
•    Procure stationary upon request and maintain inventory of stationary for use in office;
•    Support with logistics for all activities;
•    Translate documents from English to Vietnamese and vice versa; and
•    Other tasks assigned by Programme Officers and Programme Manager.

10.  Results/ expected output:
•    Contracts with local partner project personnel, including BoM members, coordinators and teachers drafted for signatures;
•    Contracts with suppliers drafted and signed;
•    Financial supporting documents prepared for expenditure liquidation;
•    Comparison tables for selection of suppliers set up;
•    Hardcopy filing system established in DOET;
•    School implementation schedule maintained updated;
•    List of teachers, list of representative parents maintained updated;
•    Inventory of stationary set up and updated;
•    Documents translated.

12.  Qualifications/ requirements:
•    Last year university students or new university graduates in social sciences or other relevant fields
•    Language: Good communication skills in oral and writing in English & Vietnamese
•    Skills: Familiar with Microsoft Excel, Word and PowerPoint
•    Willingness to work in the community
•    Active engagement in community
•    Experience in working in/with community-based organizations will be an asset

13.  Living conditions:
The duty station is Danang, Vietnam, with no requirement for travel. The Volunteer will be provided with monthly allowance of VND 2,000,000 gross.

14.  Conditions of service:
A volunteer agreement will be signed between PyD and the Volunteer that will expire at the end of 2013.
