Call for Quotes: Production of communications materials (Extended deadline)

I. OVERVIEW

The Family Health International (FHI 360) office in Vietnam is seeking a professional creative agency to offer the pproduction of communications materials for the launching event.

II. BACKGROUND

Vietnam is among the 30 countries with the highest burden of TB. The overall estimated prevalence of bacteriologically confirmed TB in Vietnam was 322 per 100,000 in the 2018 prevalence survey. Though Vietnam’s TB prevalence has declined, the rate is not rapid enough to enable the country to end TB by 2035. The national strategy has three main goals: reducing TB incidence by 90 percent, reducing TB mortality by 95 percent, and reducing patient catastrophic costs to zero.

The United States Agency for International Development (USAID) Support to End Tuberculosis (TB) project’s overarching goal is to support the Government of Vietnam (GVN) to successfully detect, treat and prevent TB. USAID Support to End TB is implemented by FHI 360 in partnership with the National TB Program (NTP).

To strengthen the TB service delivery platform in Vietnam, the USAID Support to End TB project have worked with the NTP to update current surveillance systems to enhance monitoring and data-driven decision making across the TB patient pathway. Interventions include successfully upgrading the Vietnam TB Information Management Electronic System (VITIMES). This new VITIMES is fully integrated electronic TB information system comprising data and management modules on DS- and DR-TB case finding, TBI detection and TB preventive treatment, supply chain management, and specimen referral.

To mark the launching of this new and a user-friendly TB information system, VITIMES, we are planning to produce a package of communication materials for the launching event including standee, check in booth and welcome gate, display areas to introduce the upgraded VITIMES  system to delegates, such as health workers, managers, policy makers, researchers, and donors.

III. SCOPE OF WORK

Under the supervision and guidance of the Senior Communications and Knowledge Management Officer(s) and the technical team, professional contractors will provide services on an as-needed basis for material-development, design and production. The contractor should demonstrate a client-oriented approach and can work flexibly and professionally with partners in healthcare settings.

Interested bidders are invited to submit quotations that encompass the production of communications materials including:

1. Designing service:

  • 03 e-backdrops for the led screens (One at the main screen, 2 for the site sceen)
  • 05 standees (size 90 x 200cm, two side – One in Vietnamese, One in English)
  • Welcoming photobooth and gate
  • Display areas (Computer stations)
  • Tropies
  • Invitation letter

2. Production and on-site installation:

  • 03 e-backdrops for the led screens
  • 05 standees (size 90 x 200cm, two side, (material: Fomex, decan printed)
  • Welcoming photobooth and gate: MDF with decan printed
  • 05 computer stations (Material: MDF, decan printed)
  • Tropies: Glass with printed logos and text
  • Invitation letter: Couche’ 200gsm

Specifically, the selected contractor will be responsible for the following tasks:

  • Conduct an initial consultation to understand the project requirements and objectives.
  • Develop creative concepts for the five standees, check-in booth integrated with welcome gate and computer display areas based on the provided project brief and key messaging.
  • Design and layout of the materials, incorporating engaging visuals, infographics, and typography.
  • Integration of informative content about VITIMES, ensuring clarity and conciseness.
  • Incorporate relevant graphics, images, and infographics to aid in conveying complex data and statistics effectively.
  • Provide drafts of the materials for review and make any necessary revisions based on feedback.
  • Coordinate the production, delivery and set up of the finalized communications products at the launching event venue.

To ensure the quality of the above-mentioned products, the selected contractor must work closely with Senior Communications and Knowledge Management Officer(s) and the technical team to review and provide comments on the mentioned-above product before finalization. This may consist of meetings, frequent discussions, and feedback to obtain consensus on ideas and contents of materials until completion of the final products.
