Capacity and Outreach Program Assistant

VinaCapital Foundation/Heartbeat Vietnam is an American NGO working exclusively in Vietnam to help poor children. They have programs that aim to increase access to quality healthcare for poor children and to build capacity for pediatric and cardiac care in the health care system.

In most developing countries like Vietnam, they have seen firsthand how access to care is limited to those who can pay. For a child with heart disease or another life-threatening serious illness, there are many roadblocks to care. The parents have no money and no way to get to the hospitals in the major cities that could care for their children. In Vietnam the long trek to Ho Chi Minh City, Hue, or Hanoi is too far and too expensive for many rural families.
The capacity for caring for children with heart disease and other serious illnesses is limited to the big cities in Vietnam. The provincial and district hospitals don't have the intensive care equipment to deal with a crisis. The doctors do not have the knowledge or equipment to deal with the disease or the ability to stabilize and transport to regional pediatric hospitals or heart centers. Diagnostic testing necessary for proper treatment is usually only available in the major cities.  
Infrastructure and basic medical knowledge already exist in Vietnam, and they can immediately and dramatically increase capacity for pediatric and cardiac care by adding equipment and providing training. Their outreach program has now given free care in the home province of over 10,000 children identifying over 3500 children with heart defects that may never have been found without the clinics.
Their outreach and capacity-building program has several components which aim to help solve these problems:

III. Critical Response: Pediatric Advanced Life Support Training (PALS) and Crash Cart Project
IV. The International Symposium for Cardiac Care
V. Survive to Thrive
VI. Medical Outreach Clinics
These programs have been honored to receive the designation of Clinton Global Initiatives from the Clinton Foundation.

Job description: Capacity and Outreach Program Assistant
Reports to: Nguyen Anh Tuan, Program Manager

Responsibilities:
1. Update and follow up with all the list of equipment from hospitals in provinces, including M&E
2. Update database of surgeons, cardiologists, pediatricians, physicians, doctors and nurses (physical sites in VN and overseas including with webcast registered)
3. Translate letters and programs into Vietnamese and English if required
4. Prepare all stuffs for telemedicine series, PALS, on site and off site training as requested
5. Collect and update the M&E forms and make report for every telemedicine session, PALS and each outreach clinic
6. Follow up the children and make report for each outreach clinic program
7. Take photos of each event, send to Fundraising Director Manager. Upload photos of programs to web page or VCF public drive
8. Write press release for every telemedicine session and each outreach clinic and present to program manager
9. Write and reply correspondences to VCF partners
10. Make payment requests and present to Program Manager and then for CEO for approval
11. Perform other tasks like prepare VCF brochures for each event, sending letters to hospitals and doctors, DVDs and documents copied and filing…
12. Strictly doing and following up SOP for each program
13. Support other programs if required

Requirements for applicants:
- Good communications and computer skills,
- excellent reporting skills,
- a strong team player
- ability to work independently without daily instruction
- ability to work quickly and produce documents in a timely fashion
- Fluent in Vietnamese and English
- Experience in NPO or NGO as paid staff or volunteer
