Our flagship campus will be located in Saigon Hi-Tech Park, in Ho Chi Minh City (District 9). Until phase 1 of campus construction is completed, we are located at Crescent Plaza, Tan Phu, in Ho Chi Minh City (District 7).

Job purpose

The Chief of Staff is a key member of the Provost’s Council and works closely with the Provost on a wide variety of strategic, executive and administrative duties, special projects, and initiatives involving the Provost’s Office and its priorities. The Chief of Staff is responsible for serving as the main point of contact between the Provost and other stakeholders to accomplish initiatives, including: promoting and supporting the mission and values of Fulbright, functioning as representative for governmental relations and other key community relations as and when required, overseeing the administrative, operational, and financial affairs of the Provost’s Office and in supporting the areas that report to Provost.

Roles and responsibilities

  • Serve as member of the Provost Council and as the Provost right hand person who handles day-to-day academic issues in collaboration with the deans and other members of the Provost Council.
  • Serve as senior advisor to the Provost and provide the highest level of analytical, strategic planning and implementation support with respect to current and emerging issues of importance to the Provost such as academic affairs, admission, student recruitment, faculty recruitment and student life.
  • Exercise high level authority to make official commitments and to broadly represent the Provost's interests across the organization.
  • Recognize emerging issues that have the potential to be impactful and must independently initiate a course of action to mitigate as appropriate. Determines when Provost’s involvement is appropriate and/or necessary internally and externally.
  • Serve as the executive officer for the Provost’s Office, overseeing all operations, including involvement in the operating budget and financial activities, operational and personnel functions and in supporting the areas that report to the Provost.
  • Build and maintain successful working relationships with senior officials and coordinates with a wide range of offices, staff, and stakeholders, internal and external to Fulbright University Vietnam.
  • Gather, investigate, research, analyze, and/or study information affecting University-wide, intradepartmental, or interdepartmental operations; prepares reports and other communications on behalf of the Provost.

What we look for

  • Education: As the minimum, Bachelor's degree in related area and/or related experience/training.
  • Experience:
    • At least 10 years of progressive administrative experience with specific experience in policy development, implementation, and interpretation, preferably in an academic setting.
    • Experience in business administration and project management.
    • Experience working directly with executive level and staff administrators to identify issues, build consensus, enact solutions, and ensure results.
  • Knowledge, Skills and Abilities:
    • Knowledge and understanding of institutional policies and procedures and the regulatory environment within which they operate.
    • Thorough knowledge of organizational processes, protocols and procedures.
    • Knowledge of financial analysis and reporting techniques is preferred.
    • Superior communication (written and verbal) in both Vietnamese and English, interpersonal and presentation skills.
    • Excellent ability to create, compose, and edit correspondence and other written materials.
    • Excellent consulting, relationship building and strategic thinking skills.
    • Ability to perform complex tasks and to prioritize multiple projects.
    • Ability to develop comprehensive business plans for new or on-going projects and programs, in collaboration with key stakeholders.
    • Sensitivity to stakeholders’ concerns as well as the ability to exercise discretion when dealing with issues related to confidentiality.
