TERMS OF REFERENCE

Consultancy Services for translation of Better Work Viet Nam materials

Duration: September 2023 – September 2024

1. Background

Better Work is an innovative partnership program between the International Labour Organizations and the International Finance Corporation. It aims to improve labour standards and competitiveness in global supply chains. Better Work involves the development of both global tools and country level programs. The focus is in on scalable and sustainable solutions which build cooperation between government, employers and workers’ organizations, and international brands.

Since the onset of the programme, Better Work Viet Nam (BWV) has developed a big number of programming and technical documents which are valuable to share with partners and participating factories. In 2023, Better Work Global introduced the new English website, which presents a wide spectrum of information. This encompasses introductions to the programs in each country, an overview of Better Work's strategy for interacting with factories and workers, an analysis of compliance trends, specifics about ongoing initiatives for enhancement, and a showcase of key efforts that the programme is providing support to factories and workers in recent years, among other contents. The Better Work Vietnam website is incorporated into the global website in English.  To ensure that the local Vietnamese audience can access to all information on Better Work Vietnam website, as well as to support the programme in translating technical and programme documents into English and Vietnamese (English to Vietnamese and vice versa, whenever necessary), Better Work is seeking a professional consultant or company to fulfil this translation assignment.

The chosen party will be responsible for translating the current website content from English to Vietnamese, and other documents upon the requirement from the programme. The selected translator is expected to offer thorough and continuous support throughout the duration of the contract. For calculation of translation volume, the estimated word per page for translation is 350 words

2. Scope of work and expected timeline

• Week 3 September, 2023: Recruitment
• Week 1, October 2023: Briefing with Better Work team about the website and specific tasks.
• October 2023: Translation of the website (English to Vietnamese, approximately 50 pages of content)
• November 2023 – September 2024: Other publications/documents (English to Vietnamese and vice versa – if any).
• Receive feedback and edit, final submission of translation works per month.

3. Consultant roles and responsibilities:

• Analysis of brief and relevant documents provided by Better Work Viet Nam
• Work with Better Work Viet Nam Communications Officer to start translation works

4. Deliverables:

• Monthly submission of translation works.
• Translation of the website and other documents to be under supervision of Better Work Viet Nam Operations Manager and Communications Officer

5. Requirements:

Experience:

• Having proven capacity and extensive experience in creativity and translation works
• Reference of products such as publications, brochures, flyer, etc.; with English and/or Vietnamese translation
• Knowledge and understanding of the footwear and garment sector, and experience and knowledge of projects funded by UN Agencies is an advantage.

6. Submission of the Proposal:

Interested applicants must submit the following document/information (in PDF format) to demonstrate their qualifications.

Technical component:

• A Letter of interest explaining why they are the most suitable for the work
• A Curriculum vitae with contact details of 03 clients for whom you have rendered preferably similar services
• Translation/publication works (mandatory) for reference.

Financial proposal

• The financial proposal shall specify the offered rate of translation service (including VAT/PIT). If quoted in other currency, prices shall be converted to VND at UN Exchange Rate at the submission deadline.
• The translate rate should NOT exceed UN cost norm
