The British Embassy in Hanoi is part of a world-wide network of 230 posts representing British political, defence, economic, trade, and consular interests around the world. We are currently looking to recruit a Corporate Services Officer – Grade A2(L). The appointment will initially be on a 1-Year Fixed-Term contract, subject to extension.

The Corporate Services Officer will be responsible for the implementation of the human resources policy of the British Embassy in Hanoi and British Consulate General in Ho Chi Minh City in Vietnam. The jobholder will be coordinating and promoting learning and development for the whole Vietnam Network and will be providing support to the Deputy Head of Mission.

Main Functions

Recruitment and Induction

  • Support the recruitment process of the Embassy in Hanoi and the Consulate General in Ho Chi Minh City, including coordinating interviews, contacting candidates, guiding the successful candidate in completing HR and security procedures, handling HR enquiries.
  • Draw up and monitor induction plans for new staff, in coordination with line managers.

Learning and Development (L&D)

  • Conduct learning needs analysis to develop learning and development strategy.
  • Work closely with the Regional Learning and Development Team in promoting a learning culture at post by using blended learning activities and organizing training courses and knowledge sharing sessions.
  • Monitor the Vietnam Network training budget.
  • Arrange Vietnamese language training for UK based staff.
  • Act as Committee Secretary for the Learning and Development Committee.

Performance Management (PM)

  • Responsible for the implementation of the performance management process in the Vietnam Network, providing guidance for staff.
  • Ensure appraisals are conducted in a timely manner.
  • Act as Committee Secretary for the Appraisal Committee.

HR Administration

  • Manage labour contracts including issuing, extending, renewing and terminating of contracts.
  • Manage local staff personal information including paper filing, working closely with the Regional HR Hub on updating the HR database.
  • Update the Embassy Organogram and Induction booklet.
  • Complete local regulations on labour registration in coordination with local government agencies.
  • Support the Corporate Services Manager in conducting salary surveys, HR information returns to the centre and handling enquiries on local labour law.
  • Act as Committee Secretary for the Network Joint Management Board.Be part of the Welfare team in times of crisis.

Support the Deputy Head of Mission (DHM)

  • Schedule meetings and appointments and ensure the DHM's diary is kept up-to-date and accurate.
  • Monitor the DHM’s travel and entertainment budget.
  • Support the DHM in following up actions on Staff Survey results and promoting Inclusion and Diversity at post.
  • Provide some support to the Ambassador when his PA is on leave.

Requirements

  • Fluent in written and spoken English and Vietnamese
  • Strong interpersonal and communication skills, particularly writing skills
  • Experience in learning and development for self and others
  • Excellent self management, organisational and planning skills
  • Able to work on own initiative; must have strategic awareness
  • Good IT skills, proficiency in using MS Office applications
  • Experience in human resources, especially in Learning & Development and Performance Management would be an advantage

The annual salary for this position starts at VND 264,276,000.
