Energy Sector Assistant
32 hours a week (80%) National/International

THE ROLE

As Energy Sector Assistant (ESA) you are responsible for executive and administrative support to the Managing Director of the Energy sector (MD) (20 hours per week) and support for the Energy Sector Leader (SL) of Vietnam (12 hours per week).

You will create optimal conditions for the MD and SL to execute their tasks. The ESA will support the MD in the management cycle within his cluster of countries by collecting, analysing and flagging management information. The ESA is expected to participate in internal projects and to support the MD by doing desk research, and provide support in project communication and advocacy work. You will also take care of complex calendar and logistics management for the MD and Global Sector Coordinator, (sector) meeting scheduling and manage appropriate (confidential) correspondence in a timely manner.

In Vietnam, the Energy Sector consists of a variety of projects on access to improved energy services for households and small businesses. The ESA is expected to provide the SL and the Energy team practical hands on support and assist by copyediting and reviewing of documentation such as progress reports, proposals, surveys, concept notes etc, and support the filing of monitoring data. You will also work with the Communication Officer to write news articles, blogs, etc. Occasional field work is required. As part of the team you will bring in inspirational ideas and suggestions to shape our strategic planning.

KEY RESPONSIBILITIES

  • Support the MD in oversight of the country management cycle (Management Agreements, Midyear Reviews) in the MD’s cluster of countries;
  • Compile and analyse sector management information for the Energy sector team;
  • Collect, analyse and interpret information (desk research) for the Energy sector team;
  • Draft agendas, meetings notes, emails and other communication on behalf of the MD;
  • Deal with queries, prepare documentation for meetings and assist in making presentations;
  • Coordinate all travel arrangements for MD and GsCs (air, hotel, visa);
  • Support to specific projects and activities on request by the MD;
  • Support SL in producing and editing quality reports, surveys, proposals and other relevant documents
  • Support SNV Vietnam Energy Sector external Communications by suggesting, researching and contributing to production of news articles, blogs and other related materials Inspire and become part of a conducive working environment
  • Respond adequately to requirements on needs-basis

REQUIREMENTS

  • Bachelor degree in Business Administration or relevant other study;
  • Understand the environment in which SNV operates. Knowledge of the Energy sector is an asset;
  • Proactive, independent work approach and a high attention to detail and accuracy;
  • Analytical and experience with desk/field research;
  • To prioritise, organise and plan is your second nature;
  • Demonstrate a high level of ethics, professionalism and confidentiality at all time;
  • Very strong written and verbal communication skills in English and preferably French;
  • Experience writing and/ or editing reports and proposals, and producing external Communications materials (e.g. blogs, new articles etc)
  • Experience in using MS Office and SharePoint.

DUTY STATION: Hanoi (Vietnam)

CONTRACT PERIOD: 1 year initially, extendable

DESIRED APPOINTMENT DATE: 1 May 2018
