The Embassy of Australia in Hanoi is looking for a professional and motivated individual for the Locally Engaged Staff (LES) position of Events Manager and Public Diplomacy Officer for the Political and Strategic Communications Coordination Section. The successful applicant will initially be employed on a full-time contract for a period of twelve (12) months with the possibility of an extension.

The position will be at the Classification of LE5 with a starting monthly gross salary of VND 40,324,775.

About the Australian Government’s Department of Foreign Affairs and Trade (DFAT)

The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high quality overseas aid program and helping Australian travellers and Australians overseas.

The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.

About the position

The Events Manager and Public Diplomacy Officer is responsible for overseeing and organising a range of activities and events such as, information sessions, functions and cultural exchanges to promote Australia’s positive image and culture, and further Australia’s interests in Vietnam. The role is responsible for managing the whole events process including planning, budgeting, promotion, operation of the event itself and preparation of postevent evaluation and reporting. The role builds strong networks of influence with key stakeholders, including Vietnamese media and cultural institutions.

The key responsibilities of the position include, but are not limited to:

  • Development of a detailed annual proposal for Australian Embassy public diplomacy events that promote Australia’s positive image and culture, and further Australia’s interests in Vietnam
  • Tracking upcoming visitors and influencers visiting the region and maximise potential to leverage cost-effective public diplomacy activities
  • Planning, managing and coordinating details for each event, including timelines, venues, suppliers, budgets, permits and all other event logistics
  • Researching venues, suppliers and contractors, and negotiating prices and hire contracts
  • Monitoring and managing expenses are within the established budget and in accordance with Australian Government financial management guidelines
  • Development and nurturing of high-level and influential external contacts, including with the media industry, cultural institutions, suppliers and contractors, and sponsors and event partners
  • Development and implementation of a media and promotional strategy for each event, (including through social media and traditional media channels) and supporting design of promotional materials which are tailored to target audiences
  • Production of post-event evaluations and reports to inform future events
  • Providing high level interpreting and translation services as required
  • Supporting the broader work of the Political and Strategic Communications Section as required.

Selection Criteria

  • Demonstrated experience planning, managing and executing large scale events, with a proven ability to manage supplier contracts and budgets
  • Demonstrated knowledge and experience in digital communications
  • Demonstrated high level written and verbal English language skills
  • Experience providing high level evaluations and reports
  • Qualifications in event management, public relations, media or a related field is an advantage
