FIELD PROJECT COORDINATOR, INTERNATIONAL EDUCATION (JCDP)

 

The National Judicial Institute (NJI) is an independent, bilingual, not‐for‐profit organization, headquartered in Ottawa, Canada, with a mandate to provide continuing education to members of the judiciary across Canada. An acknowledged world leader in the design and delivery of judicial education, the NJI also shares its judicial training expertise abroad. In its international work, the NJI seeks to strengthen the rule of law through judicial education and judicial reform. 

 

The NJI is looking to fill the position of Field Project Coordinator, International Education, based in Hanoi, Vietnam. This position requires fluency in English and Vietnamese.

 

RESPONSIBILITIES

 

Reporting to the Field Director, the Field Project Coordinator will support the effective incountry implementation of NJI’s Vietnam-Canada Judicial Capacity Development Project (JCDP) under the general direction of the JCDP management team. This role involves coordinating activities among project partners and facilitating engagement with stakeholders. The JCDP, funded by Global Affairs Canada, will be delivered in collaboration with the Supreme People’s Court of Vietnam over five years. It will take a gender-responsive approach to deliver training to judges in strategic areas, promote equal access to justice, especially for women and children, and strengthen the capacity of the Vietnam Court Academy to deliver excellence in judicial education.

 

Key responsibilities include in-country logistical planning and support for all JCDP project activities, including Canadian delegations visiting Vietnam and Vietnamese delegations travelling to Canada. The Field Project Coordinator will manage administrative tasks, such as arranging meetings, coordinating local services, and providing secretariat support. The role requires strong organizational and communication skills, with a focus on fostering efficient collaboration. The FPC will assist in overseeing the timely and high-quality execution of project activities in Vietnam and monitor progress against annual work plans.

 

Project Planning and Delivery

  1. Coordinate JCDP partners’ activities, meetings, and discussions with stakeholders;
  2. Provide information and recommendations on Vietnamese contextual issues that might pose risks to the project;
  3. Facilitate contact with lead agencies in Vietnam;
  4. Keep the JCDP management team updated on Vietnam’s legal/judicial developments through news articles and research papers; and,
  5. Respect delegated spending authority.

 

Administrative and Logistical Support

  1. Plan and oversee logistical arrangements for in-country activities and meetings in Vietnam;
  2. Manage arrangements for Canadian delegations to Vietnam and facilitate arrangements for Vietnamese delegations to Canada;
  3. Assist with all arrangements between the Vietnamese and Canadian teams;
  4. Provide administrative services, including local printing, assembly of materials, and documents;
  5. Attend meetings with incoming missions and assist with their logistical needs (e.g., airport pick-up, translations);
  6. Participate actively in setting annual objectives and learning plans, and mid-year and end-of-year performance evaluation meetings; and,
  7. Respect delegated human resources authority.

 

QUALIFICATIONS

 

Essential

  1. Post-secondary education in event management or project planning;
  2. 3+ years of experience in project coordination for international development projects;
  3. Experience in international events management;
  4. Demonstrated inter-cultural competence and ability to work with a diverse group of stakeholders;
  5. Fluent in English and Vietnamese (Reading, Writing and Oral);
  6. Proficient computer skills including, but not limited to, Microsoft 365 and project management software;
  7. Availability to work additional hours, on occasion;
  8. Flexibility to attend ad hoc meetings and adjust schedules to collaborate with Canadian project teams and experts outside of regular working hours; and
  9. Accompanying delegations to locations outside of Vietnam, such as Canada, as needed.
