The Opportunity - Finance Assistant (Budgeting and Analysis)

In collaboration and support Finance Officer and under the supervision of the Senior Finance Officer (Budgeting and Analysis), to help in the financial planning process and the development of needed financial analysis in order to provide relevant financial information for higher level decision making. To back up the function of bank transfer in order to ensure timely payment for the purpose of timely funding disbursement and good BvA .

In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly.

Key Responsibilities

Budgeting and BvA Preparation

  • Create DEAs and map CAM DEAs to the Agresso for new awards in due time and ensure the DEAs to be actually effective in the system;
  • Support Award team in review Fund Summary before activated in the system
  • Support Program team in proposal budget development, revised budgets, ad-hoc phasing as donor/member requirement as well as CO forecast ((0 forecast, 1 st forecast, 2 nd forecast, CAP);
  • Support Finance team on CO Forecast process, upload SOF loader budget, key in data, provide required inputs due time to the Master Budget (0 forecast, 1st forecast, 2nd forecast, CAP);
  • Extract BvA on monthly basis with due analysis and alert on the likely under/overspending and ineligible coding transactions.

Reporting:

  • Extracting data from Agresso in order to prepare the donor reporting, monthly CO financial reports as required;
  • Support Senior Finance Officer in preparing PACCOM, KPIs report.

Salary allocation:

  • Support SFO in calculating staff final payment;
  • Support SFO in doing salary allocation package; ensure the allocation to be posted before the month end date.

Capacity Building

  • Provide training and/or guidance to BHs with regard to data extracting from Agresso, enabling them to understand reports, BvA generated from the system;
  • Support in conduct BHs training in order to enhance BHs management budget knowledge;
  • Support in providing training and/or technical guidance to BHs with regard to budget phasing;

Other tasks:

  • Process bank paymnent when required in order to ensure payment is made in due time and BvA is kept on good track;
  • Check and reconcile office inventory asset with Support Services team;
  • Carry out partners’ finance visits when required;
  • Maintain a comprehensive filing system of budgeting records for easy access when necessary;
  • Other back up the team when required
