We are looking for an experienced and dynamic national candidate to fill the following position:

The post is a fulltime, fixed-term, one-year contract with possible extension, based in Hanoi with frequent domestic travel in Vietnam.

Role: The General Admin Officer is responsible for providing secretarial, clerical, logistic and administrative support in order to ensure that administrative & logistic services are provided in an effective and efficient manner.

Report to:    Head of Support Services


  • Greeting visitors and directing them to the right person, being the first Oxfam member of staff visitors meet in the building;
  • Organize and prepare facilities for meetings in Oxfam office.  Manage meeting room reservation;
  • Answering, screening phone calls;
  • Receive, direct and relay telephone messages and fax messages.  Maintains fax machines, assists users, sends faxes, and retrieves and routes incoming faxes;
  • Provide information to callers.  Answers questions about organization and provides callers with address, directions and other information;
  • Send and receive mails;
  • Ensures knowledge of staff movements and maintain telephone directory of all staff;
  • Prepare letters and documents;
  • Tidy and maintain the reception area;
  • Maintain an adequate inventory of office supplies, stationery for office and meetings;
  • Maintain office asset & inventory list;
  • Respond to public inquiries;
  • Provide secretarial support;
  • Perform clerical duties in order to maintain Oxfam administration;
  • Coordinate the repair and maintenance of office equipment;
  • Assist Oxfam staff and visitors in applying visa and logistic arrangement (including hotel & transport);
  • Arrange visa, work permit for expats as well as being a focal point for office license, workshop/meeting license from PACCOM and other government body;
  • Manage petty cash in line with finance procedures;
  • Perform other related duties as required.


  • Completed an education in secretarial, administrative or economic direction;
  • Proven secretarial, administrative and organizational work experience;
  • Excellent oral and written command of English;

Gross Annual Salary Range: VND 179,855,357 – VND 287,768,572
