Grant Officers; Administrative Assistant

RTI is seeking two Grants Officers and an Admin Assistant to support the U.S. Agency for International Development- (USAID-) funded Pathways for Participation Project (Pathways) in Vietnam. The Pathways  project will focus on mentoring local capacity building lead agencies, strengthening organizational and technical capacity of civil society organizations, and developing replicable and effective community-based services provided by and for people most-at-risk of and living with HIV in Vietnam.  

1.Grant Officers: (one based in Hanoi and one based in Ho Chi Minh City)
Main Duties/Responsibilities:
- Overseeing grants management process for local organizations, including grants compliance with USAID rules & regulations
- Processing & tracking of grant application
- Preparing grants award document
- Reviewing and approving invoices of grantees
- Maintaining grants files and verification of all grant application documents and certifications
- Providing regular compliant site visits to project sites
- Developing grants manuals and eligibility requirements

Requirements:
- Applicants must have a University Degree in Business Administration, Accounting, Finance, or related field with 3 years’ experience in financial and administrative management for USAID-funded projects
- Proven track record of overseeing effective grants/subcontracts management to achieve project objectives is required.
- Excellent English speaking and writing skills
- Excellent interpersonal skills.

2. Admin Assistant: (based in Hanoi)
Main Duties/Responsibilities:
- Answering the telephone, receiving and greeting guests/visitors, and sending, receiving, filing and recording information about postal, pouch, Fax and email correspondence.
- Assist the Office Manager in maintaining an effective office filing system, ordering and replenishing office and stationery supplies and managing the document courier service.  
- Assist the Office Manager in providing logistic support for booking travel and accommodations for staff and consultants, and in processing required travel authorizations.
- Provide assistance in preparing logistics for meetings and workshops when required, including venue reservation, determining catering needs, preparing conference/workshop materials, arranging the travel, lodging, and registration of participants, consolidating conference/workshop evaluation result and maintaining any necessary records.
- Assist the Office Manager in handling necessary procedures where referring to procurement for office supply and/or equipment or as required.
- Other duties when required.

Requirements:
- College/University degree in a relevant field such as office administration, English or related field and 2 years of experience in an Administrative Assistant position.  
- Fluency in English language including reading, writing and speaking skills.
- Computer skills including spreadsheet, word processing, and electronic mail; Microsoft Office Suite preferred.  
- Careful, detail-oriented, excellent interpersonal and communication skills and ability to work in a team.
- Ability to work independently, prioritize tasks and to take initiative
- Salary and benefits will be determined based on experience and qualifications.
