VinaCapital Foundation (VCF) is a USA registered 501-c3 public charitable organization, registered as a foreign non-governmental organization in Vietnam. Founded in 2006, VCF aims to support the economic growth of Vietnam through healthcare and education programs. The work of VCF touches the lives of millions of Vietnamese in 63 provinces every year.

VCF’s grassroots medical programs include Heartbeat Vietnam which funds heart surgeries, including pre- and post-operative care, as well as, Rural Outreach Clinics to screen children in remote areas. Medical capacity building programs include Critical Response – provides advanced emergency training courses for healthcare workers, emergency equipment, and clean water systems for healthcare centers and schools in remote areas; Survive to Thrive – improving Neonatal Care in Vietnam, and the International Symposium for Pediatric Care- educating doctors. VCF’s education initiative, A Brighter Path, is an empowerment and a 7 year scholarship program for disadvantaged but academically talented ethnic minority girls to develop communities and reduce poverty.

VCF initiatives also include advocacy, prevention, and treatment for poor children with Retinopathy of Prematurity and the National Hearing Mission. The National Hearing Mission identifies children and adults suffering from hearing loss, provide professional medical diagnosis and corresponding devices to correct and/or improve hearing, establish speech therapy if needed and ensure free maintenance and adjustments for each patient in the future. All donations to VCF go to the program activity designated by the donor and the organization is audited annually by Deloitte.

Job title : HBVN & OUTREACH PROGRAM ASSISTANT

Reporting to : HBVN & Outreach Manager

Department : Heartbeat Vietnam

Responsibility for others : Outreach Clinic, HBVN Scholarship, Family Grant, Event

Location : Ho Chi Minh City, Vietnam

Overall purpose of the job: Heartbeat Vietnam (HBVN) Coordinator is managed the full process of HBVN activities from proposal, implementing, case management and report. She/He is also has the good communication with local governments, partners, doctors and hospitals. Beside that this position also support fund raising activities and in other tasks. In addition, he/she is in charge of supporting team leading some special project time to time

Key activities:

HBVN & OUTREACH PROGRAM ASSISTANT

  • Support for outreach plan/proposals/budgets approved by Program Manager to ask for yearly grants.
  • Propose and execute activities to designated donors to meet their CSR goals.
    • Staff activities beside clinic
    • Ceremony
  • Assisting to liaise with representatives from state run and provincial authorities to plan and implement outreach clinics.
    • Send a formal letter to hospitals requesting for doing outreach clinic in provinces
    • Send letter to hospital and local authorities in province confirm the exact date to do the outreach
  • Coordinate with Manager for Outreach clinic pre and post logistic procedure:
    • Pre-clinic: staffing, cash advance, paperwork to partners, marketing materials (standee, banner), transportation, crew accommodation, support media team (if needed)
    • Post-clinic: follow-up and collect database; report number to PR-event department for social communication, M&E.
  • Support Bi-annual and annual reports to donors/PACCOM/HUFO and provinces (if required).

HEARTBEAT VIETNAM (HBVN) ASSISTANT

  • Evaluate cases submitted by the provincial partners and other organizations to VCF with HBVN Coordinator before submitting to Program Manager for approval.
  • Liaise with representatives from other iNGOs, Vietnamese NGOs to cooperate on sharing the surgery cost together.
  • Co-work with representatives for all hospitals/provincial partners to discuss various patients’ problems, clinical course, diagnosis, prognosis, treatment planned, treatment cost and determine whether to provide assistance.
  • Planning with HBVN Coordinator on the budget and target of the program quarterly, half-yearly and annual.
  • Coordinate with Program Coordinator on preparing the report of the children to each donor for their donation and update them on the children’s progress.
  • Follow-up children before and/or after surgery to schedule and implement the hospital visit for donors.
  • Support logistics and implementing plan with PR-Marketing department on Connecting Love program (connect local government officer, check children families’ situation, provide informative materials).
  • Assign and supervise HBVN volunteers on their daily tasks.
  • Support all HBVN events/campaigns.
  • Other tasks

QUALIFICATIONS:

  • Graduate from University
  • At least 1 years of NGO experience in grassroots project or comparable experiences, working with provincial authorities a plus
  • Ability to travel for outreach clinics and visits to provinces
  • Fluent in Vietnamese and English and ability to write professionally and with “heart”
  • Ability to work in Word, Excel and Power Point and learn internal systems
  • Ability to work independently and in a team, and willingness to put in extra work when needed for events and projects
