Title: HR & Admin Intern

Program: USAID Linkages for Small and Medium Enterprises (LinkSME) Project

Location: Hanoi, Vietnam

Duration: 6 months

By providing a mix of technical assistance and volunteer expert support, IESC works with emerging industries, financial institutions, and governments to stabilize economic environments, increase opportunity, and promote growth. We have completed over 25,000 projects in more than 130 countries worldwide.  

The USAID LinkSME project, funded by the United States Agency for International Development (USAID), works with business support organizations (BSOs) and the Government of Vietnam (GVN) to link Vietnamese small and medium enterprises (SMEs) with lead firms (LFs) in order to integrate SMEs into LF supply chains and accelerate domestic SME growth. The USAID LinkSME project is creating systemic changes in business relationships between Vietnamese SMEs and LFs, as well as significant increases in the quantity and/or quality of business linkages between Vietnamese SMEs and LFs.

Under the direction of the Office Manager, the HR & Admin Intern will work full-time and be based in Hanoi.

DUTIES AND RESPONSIBILITIES

Specific responsibilities include, but are not limited to: 

  • Support recruitment activities in managing existing candidate database and follow hiring process if any
  • Support to collect and synthesize employee & consultants’ data
  • Handle and support the administrative tasks of the HR team
  • Assisting in managing office warehouse, keep track of in & out promotion items.
  • Assisting in handling the arrangement of office services & follow up payments: taxi, courier,
    maintenance, stationery, utensils, consumables, etc.
  • Assisting in maintaining an effective office correspondence filling system, including copying and scanning documents as necessary.
  • Assisting in transcribing, formatting and/or editing project documents.
  • Supporting in getting quotations for necessary procurement of office/ stationery supplies and/or equipment, maintaining office supply inventories and coordinating maintenance of office equipment as required.
  • Providing assistance in event procurement, preparing logistics for meetings and workshops when required.
  • Assisting in providing logistics support for booking travel and accommodations for staff and consultants, and in processing required travel authorizations.
  • Assisting in international travel arrangements for visitors coming to Vietnam.
  • Assisting in managing Trade Union distributed fund and assembling supporting document for making Trade Union reimbursement request as required by local authorities.
  • Other duties when required.

QUALIFICATIONS

  • Fourth-year university students or fresh graduates in a relevant field such as Office Administration, English or related field.;
  • Experiences in an intercultural and multi-lingual context gained by way of internships, academic exchanges, volunteers or extra curriculum activities are preferred (a recommendation from the university/reference check may be required);
  • Experiences in event and training organization are preferred;
  • Experiences in recruitment support and human resources are preferred.
  • Fluency in both Vietnamese and English, including reading, listening, writing and speaking skills
  • Computer skills and experience on formatting/editing documents (excel, word, power point, outlook) are essential; 
  • Cheerful attitude, detail-oriented, excellent interpersonal and communication skills and ability to work in a team;
  • Ability to work independently, prioritize tasks and take initiatives;
  • Availability to start working and travelling in short advance notice is a plus.
