BACKGROUND:

FIT VN is a registered non-profit organization working in the field of tuberculosis (TB) prevention and care, service delivery, research, technical assistance and advocacy.  FIT is a young, dynamic and growing organization. FIT now has over 50 office-based staff working across five cities in Viet Nam.  We work in close collaboration with Provincial and National TB Programs and other in-country partners to implement projects funded by the European Union’s Horizon 2020 program, the Stop TB Partnership’s TB REACH initiative, Centers for Disease Control and Prevention, UNITAID and Johnson & Johnson.  We have also had multiple active research partnerships, including with the Liverpool School of Tropical Medicine in the UK, the Karolinska Institutet in Sweden, the KNCV Tuberculosis Foundation in the Netherlands, and Ceres Nanosciences and SureAdhere Mobile Technology in the United States.  FIT staff have supported the implementation of other TB programs in South and Southeast Asia, and represented Viet Nam at multiple regional and international forums on TB technical assistance.  Finally, FIT was chosen to represent civil society organizations from Viet Nam at regional events and at multiple events in the lead up to and during the United Nations High Level Meeting on TB in New York City.

Our organization is growing quickly and we are searching for highly qualified, independent, experienced and motivated HR Officer to assist in providing the staff of FIT and its affiliate entities with high quality HR support.

MAIN DUTIES AND RESPONSIBILITIES:

  • Handle full cycle recruiting process from screening CV to bring selected candidates on board.
  • Maintain recruitment database to reflect accurate and up-to-date information
  • Perform on-boarding process to new hires (prepare working facilities, organize training on all internal policies and process, and introduce new employees to the whole organization)
  • Monitor personnel changes and draft labor contracts
  • Support for monthly payroll preparation including leave tracking, PIT/Dependents registration, …
  • Assist in checking timesheets and calculating payroll, updating the information about compensation & benefit benchmark upon request.
  • Responsible for enrollment of health insurance and other relevant statutory insurance
  • Follow up with separation process, co-operate with other departments for hand-over process
  • Conduct annual employee performance reviews and provide guidance if required
  • Collect data and prepare HR reports (headcount, labor reports to local authorities, …)
  • Assist in the communication, interpretation, and upkeep of employee handbook, and organization chart, and contributes to the development of policies
  • Update and maintain filing system, both electronic and physical
  • Collaborate with the admin team to organize team-building activities and other office activities
  • Assist in office daily operations, other tasks assigned by line manager and the management team

JOB REQUIREMENTS:

  • Bachelor’s Degree in Human Resources or any related discipline
  • At least 2 years of related experience working in an HR division, demonstrated knowledge and experience implanting best practices for human resources in a similar industry will be preferable
  • Excellent English verbal and written communication skills are compulsory
  • Previous HR experience working in NGOs, especially health organizations, is a plus, but not mandatory
  • Possessing a customer service attitude and good interpersonal skills
  • Strong time management skills with a proven ability to meet deadlines
  • Detail-oriented, well-organized and honest.
  • High sense of responsibility in confidential matters
  • Comfortable working in a fast-paced environment
