Job Title: Interim Events and Engagement Manager

POSITION OVERVIEW

This is a fixed-term position to provide maternity leave cover, with the potential for priority consideration for future opportunities within the organisation. The role focuses on delivering a series of key fundraising and engagement events during the contract period. The Events and Engagement Manager will work closely with internal teams and external partners to ensure all events are executed to a high standard and align with saigonchildren’s mission, while also maintaning and expanding relationships with supporters, partners, and the wider community.  

 

The role requires strong organisational skills, proactive communication, and the ability to manage multiple stakeholders and timelines effectively. Building and maintaining relationships with donors, sponsors, and event participants is essential. Some evening and weekend work will be required due to the nature of the events.

 

The position is part of a small, supportive team where responsibilities are shared flexibly. While the role involves coordinating others, it does not include direct line management of a full-time subordinate.

 

EVENT MANAGEMENT

1. Planning and Sponsorship

  • Develop detailed timelines and action plans for each event
  • Prepare sponsorship proposals and decks
  • Join meetings and follow up with sponsors/partners.

 

2. Budget and Supplier Management

  • Draft event budgets and itemised breakdowns
  • Liaise with suppliers and coordinate purchases/deliverables
  • Track all expenses and income, prepare financial reports.

 

3. Logistics Management

  • Create and manage detailed logistics checklists
  • Coordinate venue setup, storage, and transportation of materials
  • Work closely with agencies on production, printing, and design.

 

4. Volunteer Coordination

  • Identify and train suitable volunteers for different events
  • Allocate roles and supervise volunteers and staff during events.

 

5. Interim Event Oversight

During the interim period, the post holder will be responsible for managing a series of planned public engagement and fundraising events, including but not limited to:

  • Sports challenges.
  • A series of art exhibitions.
  • A high-profile donor dinner.
  • Seasonal public events and merchandise sales activities.

The role includes full coordination of logistics, stakeholder engagement, guest management, and onsite execution for these events.

 

ENGAGEMENT MANAGEMENT

1. School Engagement

  • Maintain and strengthen relationships with international schools
  • Attend and represent saigonchildren at school-organised activities and events

 

2. Community Engagement

  • Engage with youth groups and student clubs
  • Respond to support requests and explore long-term collaborations with community networks

 

3. Merchandise Development

  • Develop and produce fundraising merchandise (e.g. cards, calendars, event-related items) ensuring alignment with the organisation’s brand and mission.
  • Build and maintain relationships with sponsors, partners, and vendors to support merchandise initiatives and expand engagement opportunities through these channels.
  • Monitor merchandise performance, including tracking sales and managing profit and loss (P&L) to ensure cost-effectiveness and sustainability.

 

REQUIREMENTS

  • Vietnamese national with a university degree in a relevant field
  • Proven experience in event organisation or project management
  • Highly organised and detail-oriented, with the ability to manage multiple tasks and deadlines
  • Outgoing personality with strong interpersonal skills – comfortable engaging with new people and speaking in public (both one-on-one and to groups)
  • Fluent in both English and Vietnamese, with excellent verbal and written communication skills
  • Demonstrated leadership and teamwork skills, able to foster collaboration and coordinate with diverse internal and external stakeholders, including international partners
  • Results-driven mindset with the ability to work independently and achieve tangible outcomes, particularly in fundraising and partnership development
  • A genuine compassion for others and a strong motivation to support children and communities
  • Proficient in Microsoft Office tools (Word, Excel, PowerPoint)
  • Basic working knowledge of design tools (e.g. Adobe Illustrator, Photoshop) is a plus

 

Child Protection Policy of saigonchildren

Be alert to all forms of injustice, child exploitation and child abuse. Report identified cases to the saigonchildren Safeguarding Team using agreed safeguarding procedures and assist with the necessary response in each case.
