International Relations Assistant

Job summary:

International Relations Assistant will work under the direct supervision of the President of AA Vietnam to provide administrative support in developing and maintaining international relationships with regional country members and clubs of the FIA Region II Asia Pacific.

Job Description:

  • Attend meetings and online meetings as required and take detailed minutes
  • Support the President in preparing agendas and scheduling Board meetings
  • Accompany the President for international trips as required and provide logistic supports for travel.
  • Build and maintain working relationships in order to be a credible advisor on partnerships and opportunities.
  • Communicate with all FIA regional clubs for their club development.
  • Assist in developing a timeline for AA Vietnam activities and update status of projects in the FIA Region II.
  • When necessary, act as a key liaison contact with regional partners in the regions and ensure collaborations are managed appropriately and opportunities acted upon.
  • Monitor and update the FIA Region II Development funding grant applications with FIA Coordinator and AIP Foundation.
  • Coordinate AA Vietnam events, conferences and projects. This includes promoting and coordinating event logistics, managing invitations, liaising with internal and external stakeholders, writing briefings and ensuring there is appropriate follow-up to all events.
  • Supervise routine correspondence by email, mail and telephone, including management of the International Relations Office’s general email accounts.
  • Maintain an organized filing system of paper and electronic documents.
  • Undertake any other tasks appropriate to the grade as determined by the President.

Job requirements:

  • Bachelor’s degree, majoring in international relations, Business Administration or related fields, preferably with overseas study experience
  • 3 year’s working experience in similar positon
  • Excellent communication and interpersonal skills
  • Ability to work collaboratively and build strong working relationships
  • Fluent in Vietnamese & English
  • Ability to work under pressure
  • Strong organizational and problem-solving skills and multi-tasking abilities
