IT and Data Administrator

ORGANIZATION & RESEARCH BACKGROUND

Oxford University has two Clinical Research Units in Viet Nam: one in Ho Chi Minh City and one in Hanoi (www.oucru.org)

Oxford University Clinical Research Unit Vietnam (OUCRU-VN) has been working in Viet Nam for more than 20 years on infectious diseases studies and has a well-established research program, facility and partnership with the National Hospital for Tropical Diseases and a network of hospitals across Viet Nam and Asia to conduct a wide range of clinical studies including clinical trials of drugs .

The Unit’s main focus of work is in Dengue, Infections of the Central Nervous System, Respiratory Infections, Antibiotic Resistance, Influenza, HIV and Tuberculosis. 

OVERVIEW OF THE ROLE

The post is responsible for the day to day operations of the IT activities in in the OUCRU – Ha Noi. He/she is also responsible for managing all servers, computers, printers, internet service, networking devices, backup services by coordinating with IT System Administrator in OUCU-HCM. In addition, the post is also responsible for providing support for data management activities to hospitals’ researchers and unit’s collaborators in the north of Vietnam in coordination with IT and Data Management team in Ho Chi Minh City.

The IT and Data Management team is a functional department that provides IT and Data Management related services to the whole Unit’s operation, with the bulk of work in HCMC. That includes a professional team to take care the server room of 15 physical servers with more than 30 VMs, running various applications of Exchange Server, SharePoint Portal, Dynamics AX, Freezerworks, SQL Servers, bionumerics software and many in-house applications and provide support to more than 300 users.

LOCATION

OUCRU-VN office at the National Hospital for Tropical Diseases, Bach Mai Hospital, 78 Giai Phong, Dong Da, Hanoi. Travel to hospitals or units around Hanoi will be required regularly.  Travel within Viet Nam or internationally will be required.

LENGTH OF CONTRACT

One year contract and extension based on annual performance appraisal and Research approval

PROBATION PERIOD

Two months.

  • Head of Finance and Admin – OUCRU Ha Noi
  • Head of IT and Data Management – OUCRU HCM

HOURS OF WORK

37,5 hours/week – Monday to Friday

BENEFIT

JOB DUTIES/ RESPONSIBILITIES

SA Engineering and Provisioning

  • Working with IT team in OUCRU HCM in installing new / rebuild existing servers and configure hardware, peripherals, services, settings, directories, storage, etc. in accordance with standards and project/operational requirements.
  • Develop and maintain installation and configuration procedures.
  • Contribute to and maintain system standards.
  • Research and recommend innovative, and where possible automated approaches for system administration tasks.  Identify approaches that leverage our resources and provide economies of scale.

Operations and Support

  • Perform daily system monitoring, verifying the integrity and availability of all hardware, server resources, systems and key processes, reviewing system and application logs, and verifying completion of scheduled jobs such as backups.
  • Perform regular security monitoring to identify any possible intrusions.
  • Perform daily backup operations, ensuring all required file systems and system data are successfully backed up to the appropriate media, recovery tapes or disks are created, and media is recycled and sent off site as necessary.
  • Perform regular file archival and purge as necessary.

Maintenance

  • Apply OS patches and upgrades on a regular basis, and upgrade administrative tools and utilities. Configure / add new services as necessary.
  • Maintain operational, configuration, or other procedures.
  • Perform periodic performance reporting to support capacity planning.
  • Perform ongoing performance tuning, hardware upgrades, and resource optimization as required.  Configure CPU, memory, and disk partitions as required.
  • Maintain data center environmental and monitoring equipment.

Provide Data management support

  • Help the PI in designing and formatting Case Report Forms (CRFs) to meet the technical requirements of CliRes platform.
  • Coordinate with Data Management Team in HCMC in developing study databases with CliRes platform.
  • To provide technical support for Data Management in NHTD and research sites in the Northern Vietnam.
  • Other tasks as required

REQUIRED COMPETENCIES

  • BSc in computer science, computer engineering or information system
  • Systems Administration/System Engineer certification in Unix and Microsoft
  • At least two years system administrator experience
  • Strong SA experience in network infrastructure, virtualization, Linux,  Windows OS and cloud computing.
  • Experience in MS Exchange Server 2010, MS SharePoint, Microsoft System Center Suite.
  • Strong experience in delivering high level IT helpdesk services to end-users.
  • Preferable knowledge on ERP system such as MS Dynamics AX.
  • Analytical problem-solving skills, willingness to learn, self-initiative.
  • Team player, organized, patient, dedicated, tactful, understanding, disciplined and mature.
  • Creative and innovative on developing IT solutions
  • IELTS equivalent 5.0
