Hours of work

Full time: Monday – Friday, 37.5 hours per week, extra hours may be required.

Initially for 01 year, including a 02 month probation period, with the possibility of extension based on annual performance appraisal and Research Approval

Background

The Oxford University Clinical Research Unit (OUCRU) is a large-scale clinical and public health research unit, with headquarters in Ho Chi Minh City and units in Hanoi in Vietnam, Jakarta in Indonesia, and Kathmandu in Nepal. In Vietnam, we are hosted by the Hospital of Tropical Diseases (HTD) in Ho Chi Minh City, and the National Hospital for Tropical Diseases (NHTD), and the National Institute for Hygiene and Epidemiology (NIHE) in Hanoi. As a Wellcome Africa Asia Programme, we have received considerable support from Wellcome since our establishment in Vietnam in 1991.

OUCRU’s vision is to have a local, regional, and global impact on health by leading a locally driven research program on infectious diseases in Southeast Asia. Priority is given to health issues important to the hospitals where we work, and to the countries as a whole where we operate: Vietnam, Indonesia, and Nepal.  All work is intended not only to benefit the patients seen daily at our host hospitals but also to help improve patient care.

OUCRU employs approximately 320 people across Viet Nam and has an average annual budget of USD 12mil.

Job Summary

The post is responsible for the day-to-day operations of the IT activities in the Oxford University Clinical Research Unit – Ha Noi. He/she is also responsible for managing all servers, computers, printers, internet service, networking devices, and backup services by coordinating with IT Teams in OUCU-HCM.

Key responsibilities and tasks

SA Engineering and Provisioning

  • Work with IT teams in OUCRU HCM in installing new / rebuilding existing servers and configuring hardware, peripherals, services, settings, directories, storage, etc. in accordance with standards and project/operational requirements.
  • Develop and maintain installation and configuration procedures.
  • Contribute to and maintain system standards.
  • Research and recommend innovative, and where possible automated approaches for system administration tasks.  Identify approaches that leverage our resources and provide economies of scale.
  • Develop and maintain SOPs and work instructions for IT operations in OUCRU HN

Operations and Support

  • Perform daily system monitoring, verifying the integrity and availability of all hardware, server resources, systems, and key processes, reviewing system and application logs, and verifying completion of scheduled jobs such as backups.
  • Perform regular security monitoring to identify any possible intrusions.
  • Perform daily backup operations, ensuring all required file systems and system data are successfully backed up to the appropriate media, recovery tapes or disks are created, and media is recycled and sent off-site as necessary.
  • Perform regular file archival and purge as necessary.
  • Maintain encryption of all laptops and portable devices following the Information security policy and Encryption SOPs
  • Management of office and IT assets in OUCRU HN to be used appropriately and available in the right places in good condition.
  • Provide IT induction and appropriate computer training to new staff.
  • Other tasks requested by supervisors

Maintenance

  • Apply OS patches and upgrades on a regular basis, and upgrade administrative tools and utilities. Configure / add new services as necessary.
  • Maintain operational, configuration, or other procedures.
  • Perform periodic performance reporting to support capacity planning.
  • Perform ongoing performance tuning, hardware upgrades, and resource optimization as required.  Configure CPU, memory, and disk partitions as required.
  • Maintain data center environmental and monitoring equipment.
  • Collaborate with IT Teams in OUCRU HCM and suppliers to maintain servers, computers, and related equipment.

Selection criteria

Essential:

  • BSc in computer science, computer engineering, or information system
  • Systems Administration/System Engineer certification in Unix and Microsoft
  • At least two years of system administrator experience.
  • Strong SA experience in network infrastructure, virtualization, Linux, Windows OS, and cloud computing.
  • Experience in Microsoft 365 administration and support
  • Strong experience in delivering high-level IT helpdesk services to end users.

Desired:

  • Preferable knowledge of ERP systems such as MS Dynamics AX.
  • Analytical problem-solving skills, willingness to learn, self-initiative.
  • Team player, organized, patient, dedicated, tactful, understanding, disciplined, and mature.
  • Creative and innovative in developing IT solutions.
  • IELTS equivalent 5.0
