The British Embassy in Hanoi is part of a world-wide network of 230 posts representing British political, defence, economic, trade, and consular interests around the world.  We are currently looking to recruit a IT Support and Corporate Service Officer – Grade A2(L). 

The jobholder will be in charge of the Embassy’s IT systems, telephone, and other communications systems, helping users address problems and ensuring that IT and communications systems help staff fulfil their objectives. S/he will also provide support to the Corporate Service Team and undertake some security work in cooperation with Embassy colleagues.  The successful applicant will be receiving training for this role.

Main Functions

  • Act as Embassy contact for users of Firecrest computer system (the official IT system of the British Foreign Civil Service)
  • Liaise between users and the central helpdesk in resolving issues with the official phone system (ECHO) and Firecrest
  • Provide IT guidance for staff on routine and basic troubleshooting tasks
  • Act as technical lead for Vietnam network’s SharePoint site, and provide guidance on how to use the new FCO Intranet site
  • Manage  FCO IT project work when necessary
  • Manage  Firecrest and Echo Security Operation Procedures and  forms
  • Provide support on video conferencing and audio-visual elements of events, use of office internet, phone, fax lines, and mobile phones
  • Distribute guidance on FCO IT processes and procedures

Manage the standalone system

  • Maintain standalone computers and travel laptops
  • Manage the network infrastructure
  • Manage the IT inventory and  Security Operation Procedures forms (SOPs)

Manage resources and budgets

  • Manage  IT equipment and be responsible for monitoring and forecasting the IT budget
  • Review and procure Firecrest and standalone hardware/peripherals
  • Manage mobile phones Statement of Responsibility forms

Provide Logistics for use in a Crisis

  • Lead on the Business Continuity Plan (BCP) – IT contingency
  • Organise the annual test of the BCP
  • Act as Satellite Phone/BGAN Coordinator
  • Test and update IT equipment used in Post Emergency Plan and BCP
  • Manage the Taminflu stock

Contribute to the Embassy’s security and support activities

  • Act as site contact for any operational issues within the Chancery and coordinate necessary work
  • Lead on communication and logistics for visits of  regional technical support staff
  • Manage  inward/outward Diplomatic Bags
  • Act as Bulk Passport and Vignette Custodian
  • Act as out–of-hours duty Phone Coordinator
  • Provide support for the Access Control System
  • Circulate  Pass Security Regulations
  • Be responsible for the maintenance of the Radio Network
  • Ensure that correct Technical Security Rules are being followed in the Embassy (Mobile Phones and Laptops use by Visitors)
  • Liaise with the Post Security Officer and Deputy Post Security Manager on security issues

Requirements

  • Strong communication and interpersonal skills
  • Excellent written and spoken English
  • Has initiative and the ability to work with minimum supervision
  • Strong knowledge of IT applications and MS Office applications
  • Excellent problem solving and customer service skills
  • Strong IT skills (hardware, software and services) with experience in IT support in a multicultural organisation would be desirable, but not an essential requirement.

The monthly salary for this position starts at US$ 887 plus US$1,113 monthly security allowance.
