Junior Admin and Accounting Assistant

The National Legislative Development Project (NLD) is a bilateral initiative funded and supported by the Government of Canada through the Department of Foreign Affairs, Trade and Development (DFATD). The NLD aims to support the Government of Vietnam’s effort to reform the Vietnamese law-making process and improve the quality of economic legislation. Its ultimate outcome is a strengthened, effective, transparent legal framework reflecting the needs of Vietnamese citizens and supporting equitable economic growth. The project is currently looking for talented Vietnamese to join its ranks to deliver this ambitious and important program.

Project Partners

In Vietnam: Ministry of Justice (lead partner); the Law Committee of the National Assembly; the Office of Government; Ministry of Finance; Ministry of Agriculture and Rural Development; and, the Ministry of Industry and Trade.

In Canada: The Canadian Executing Agency (CEA) is a consortium of the Canadian Bar Association (CBA), Ontario Justice International, Ministry of the Attorney General of Ontario (MAG), and Stikeman Elliott LLP (SE).

Duration:  7 years, starting May 2013

TERMS OF REFERENCE

Junior Admin and Accounting assistant

- Reception: welcoming visitors.
- Receiving, sending phone call, fax….
- In charge of incoming and out-going mails and courier for project office.
- Photocopy, filling project documents and manage project library materials.
- Manage and maintain information in Project WEBSITE
- Logistic arrangement such as booking visa, hotels and travel for visiting Canadian and for project staff, trainings, workshops, study tour abroad, etc.
- Provide logistical, administrative support; liaise with partners and other personal assistance for the delivery of the Project activities and support Project Field Manager, Assistant Field Manager and Programme Officers as required.
- Take notes and prepare Mom of staff meetings.
- Support F& A Officer in procurement of project equipment and supplies.
- Support F& A Officer in equipment inventory.
- Record timesheet, annual leave and sick leave of project staff
- Petty cash management.
- Photocopy of project accounting receipts and vouchers.
- Support F& A officer in reviewing consultant’s travel expense reports.
- Support F& A Officer in other admin and accounting services as assigned.

Qualifications and Experience:

Education: University degree in business/commerce, economics, international relations, political science, or other areas of relevance to the work of NLD. Good and cheerful personality, hard working and attentive to staff and partner needs.

Work Experience: Minimum 1 year of progressive experience in a business environment in project development or administration, marketing, customer’s relations in either public or private sector international organizations. Full computer literacy. Good command of spoken and written English.
