National Intern - Learning Area: Project Admin Intern

The project “Scaling sustainable forest management and forest certification in Vietnam” is financed by the German Ministry for Economic Cooperation and Development (BMZ) with counter-part funds from the Vietnamese Government. It is designed to follow up the proved approach and results from the newly concluded Bio project.

The implementing agencies are the Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH and the Forestry Project Management Board (FPMB) under the Ministry of Agriculture and Rural Development (MARD).

The project’s overall objective is: “Progress has been made in the transition to sustainable, climate-friendly forest management.”

The project is expected to achieve its objectives by end of 2024 through the implementation of the three following outputs:

  • Output 1: The legal and institutional prerequisites for the transition to sustainable and climate-friendly forest management are established
  • Output 2: The capacities of relevant actors in the forestry sector for the transition to sustainable, climate-friendly forest management are strengthened.
  • Output 3: Information and instruments for financing the transition to sustainable, climate-friendly forest management are available to relevant actors in the forestry sector

The project is looking for qualified national intern to fill the following position of:

National Intern
Learning area: Project Admin Intern
Duty station: Ha Noi, Vietnam.
Duration: For 6 months, starting from February 2022

Purpose:

Under the guidance and direct supervision of the F&A Coordinator, the Intern will work on execution of transparent and efficient admin, procurement and travel services and processes according to GIZ’s rules and regulations.

In close collaboration with the GIZ project Admin/Procurement team, the Admin Intern will learn & practice to achieve delivered tasks and responsibilities:

General Administration:

  • Assist the project admin team in filing documents, typing, translating, faxing, copying, minutes taking
  • Prepare the routine correspondence, faxes, memoranda and reports in accordance with the office’s procedures
  • Maintenance of files in the admin unit
  • Translating requested documents for any submission
  • Support other/ad hoc activities as seen relevant and needed.

Travel services, logistic arrangement support

  • Support in provision of information to the staff on travel including travel route and hotel arrangement 
  • Provide support for arrangement of travel and hotel reservations.

Contracting and Procurement support

  • Assist the contracting and procurement team in proper organization, implementation, monitoring and control of procurement processes in full compliance with GIZ rules and regulations, and in accordance with the annual workplan, budgets, and procurement plan
  • Review specifications, terms of references, and statement of work to ensure completeness, accuracy and compliance with quality standards and objectives of the project; and to implement the procurement of goods, works and services, including the negotiation and awarding of contracts, in accordance with GIZ rules and regulation and the norms and procedures
  • Assist in control of the project assets.

Minimum requirements:

  • Vietnamese nationality
  • Currently undertaking bachelor studies in business administration, social science or related areas
  • Knowledge and a proficient user of Microsoft Office productivity tools and a good command of English language
  • Interest and motivation in working in an international organization
  • Good analytical skills in gathering and consolidating data and research for practical implementation
  • Outgoing and initiative-taking person with a goal-oriented mind-set
  • Communicates effectively when working in teams and independently
  • Good in organizing and structuring various tasks and responsibilities
  • Displays cultural, gender, religion, race, nationality and age sensitivity and adaptability
  • Responds positively to feedback and differing points of view
  • Consistently approaches work with energy and a positive, constructive attitude.
