LORETO VIETNAM-AUSTRALIA PROGRAM (LVAP) PROFILE: an INGO (Australian) which has been operating in Vietnam for 13 years. POSITION DESCRIPTION: LVAP is seeking a highly competent candidate for the position of Office Manager. The person’s primary responsibility is to provide active support service to LVAP staff and partners in office administration and also in ‘field work’. S/he is responsible for administrative office management and day to day logistics.

- Vietnamese national
- good communication skills (both written and oral) in English: preferred (but not mandatory) IELTS (or equivalent) score – 6.5 required

- excellent relationship and communicational  skills

Specific Duties:
- serve as administrative liaison and provide support for daily maintenance of office facilities
- be responsible for daily communications including maintenance of calendar and appointments for the Program Coordinator
- support with other tasks as needed, such as day-to-day office management, answering phones, event logistics etc
- filing all office documentation and third party contracts, agreements, records management etc.
- establish updates and maintain manual /automated filing systems for confidential and administrative files in order to track all information
- be responsible for updating Petty Cash Log
- translate (confidential) documents as well as interpret for the Program Coordinator at meetings and on other work-related occasions
- attend meetings with LVAP staff and project partners, government agencies and sponsor agencies
- build and develop ongoing relationships with formal and informal partners, community groups and Vietnam government agencies as well  as liaise and communicate with local partners who are directly involved in LVAP’s current projects
- network with other International Non-Government Organizations (INGO’s) and Vietnamese Departments
- make field trips to attend resource distributions, celebrations, site visits, openings and reconnaissance
- assist with the organization of events (Bike Day, Scholarship Day, School Supplies Day), presentations and ceremonies at projects/project visits
- facilitate in organizing periodic workshops for LVAP projects
- be responsible for requesting wish-lists at the end of each school year
- assist with English Teaching Program at Nguyen Dinh Chieu School for the Blind and assembling groups of volunteers to make Braille English Story Books/Cards; research for more English teaching/learning software to use for English classes
- assist with ancillary classes (e.g. art, library) at Binh  Minh Special School
- be responsible for the distribution of ‘goods in kind’ to LVAP’s projects
- participate in any other activities which may be required to fulfill LVAP’s objectives.
