Office Manager

CARE in Vietnam works innovatively with national partners focusing on remote ethnic minority women and socially marginalized people.  We are now looking for an Office Manager to join our team based in Ha Noi.  This position is for Vietnamese national only.

The Office Manager is responsible for the day to day running and long-term organizational requirements of the CARE in Vietnam representative office and project fields offices administration including safety and security, procurement of goods and services, management/maintenance of all properties, equipment and buildings, management/maintenance of vehicle management, inventory and asset, the logistic support to the program and partnership in compliance with CARE policies and procedures. 

Key responsibilities and contribution:

  • Manage the administrative functions in the Hanoi office and liaise closely with other admin staff in field offices to ensure smooth operations of CARE administrative procedure and policy.
  • Ensure all appropriate procurement procedure are being followed in Hanoi and field offices.
  • Oversee maintenance and management of office central filing and archiving system and corresponding e-filing. Ensure an update to date Country Office master asset and inventory register is maintained in the Hanoi office; quarterly reconciliation with finance records; document regularly physical verification of assets and inventory; and Manage asset label, movement, handover, transfer and disposal. Manage all insurance arrangements and claims relating to CARE assets and vehicles
  • Liaise with the People’s Aid Coordinating Committee (PACCOM) and ensure all operations registration for CARE offices in both Hanoi and HCMC are in place as per required of the Government.
  • Oversee the visa support to all international staff, volunteers, and visitors in timely manner.
  • Serve as CO Safety and Security Focal Person to oversee CARE International safety and security policy and procedure well implementation in the Hanoi office and at field offices.
  • Organize logistics, meetings setup and agenda for Country Director as and when required and coordinate CD’s outbox clearance on a regular basis

Required qualifications:

  • A degree in Administration with minimum 4 years of work experience as Office Manager for an International organization or company.
  • Good understand of Government procedures
  • Excellent analytical skills, judgment and decision making skills
  • Excellent written and verbal communication skills in both English and Vietnamese languages.
  • Ability to lead and manage a team.
