Operational Intern

Working in Vietnam since the early 1980s, PATH established a permanent office in Hanoi in 1997, and an office in Ho Chi Minh City in 2014.
Description of the project the Intern will complete:
Practice and learn about daily work of procurement/admin/finance through supporting the Vietnam office procurement/admin/finance team includes procurement activities, daily administration, payment process and under the supervision of the Procurement Associate.
Description of overall learning objectives and goals for the internship/benefit to the Intern:
To gain practical experiences in the field of purchasing/procurement and admin/finance management, regular duties and responsibilities of procurement/admin/finance position.
Brief description of required skills/experience the intern should possess:
- Basic understanding of procurement, financial and administrative principles
- Good verbal and written communication skills
- High level of detailed focus, accuracy, and responsibility
- Good negotiation skill is an advantage
- Motivation and strong desire to learn and take on new challenges.
- Proficient skills in computer including experience with MS Office products such as Word, Excel, Outlook
- Familiar with Google Form is an advantage
Skills to be developed and/or expanded during internship:
- Insight into the working environment and understanding the culture of the organization.
- Standard procurement, admin and finance practice
- Purchasing and negotiation skills
- Admin and logistic support to Vietnam office
- Payment document review and control
- Good skills of communication and coordination with other team members
- Other related skills of procurement, admin and finance
Proposed activities:
Procurement activities:
- Provide support to procure goods and services for Vietnam Country program
- Assisting in the registration of new vendors;
- Assisting in contacting vendors and supporting them in the finalization of requested documents;
- Assisting in managing vendor databases;
- Sending communications to vendors;
- Supporting the implementation, monitoring of the Procurement Plans, monitoring progress and sending updates to project teams;
- Assisting in procurement of goods and services in compliance with the PATH procurement policy.
- Assisting with the preparation of documents and implementation of the document/file management system;
- Conducting research on best practices and potential vendors;
- Other related initiatives and activities.
Administration activities:
- Receiving and submitting correspondence at relevant government organizations.
- Acting as Receptionist backup as needed
Finance/Accounting activities:
- Assisting Finance Unit in scanning, copying and filing documents.
- Rearranging and pre-reviewing financial supporting documents for payment
- Entering Petty cash payment transactions (to spreadsheet)
- Support other/ad hoc activities as seen relevant and needed.
Candidates must currently have legal authorization to work in Vietnam.
