Project Assistant

Background:

The Beth Israel Deaconess Medical Centre (BIDMC) leads the Partnership for Health Advancement Program (HAIVN) in Vietnam since 2003. HAIVN is a collaboration between Harvard Medical School (HMS), Beth Israel Deaconess Medical Center (BIDMC), and Brigham and Women’s Hospital (BWH). In Vietnam, BIDMC seeks to contribute to developing the capacity of healthcare providers and strengthening the healthcare systems, by supporting high quality medical education, medical research, and by improving the healthcare system and its quality.

BIDMC has been awarded funding by USAID to build capacity of medical universities, training institutions and medical faculty in both public and private universities to prepare for the implementation of new national licensing exams (NLE) to begin in 2027. The NLE is the national examination legally required for medical licensure that physicians and medical practitioners have to take at their graduation to ensure the physicians’ competencies to provide safe and effective patient care. Through their improved capacity, it is anticipated they will contribute together with other partners in Health Resource for Health to support the National Medical Council (NMC) to prepare the organization of NLE. The project will be partnering with the Administration of Science Technology and Training (ASTT) of the Ministry of Health and the Vietnam Association of Medical Education (VAME) to deliver the design activities under the technical assistance of ScholarRX - a US-based company that has been highly specialized in writing the test questionnaires for and organizing the licensing examination.

BIDMC is seeking to hire a Project Assistant to assist in the preparation and implementation of project activities. The Project Assistant will also be responsible for providing translation and interpretation for international team members so should be fluent in both English and Vietnamese

Job Location: This position will be based in Hanoi, Vietnam

Overall Responsibilities:

The Project Assistant will be responsible for assisting in the preparation and implementation of project activities including providing administrative support to the project team. He/she will support and directly report to the HAIVN Senior Project Coordinator.

Specific Responsibilities:

  • Support in day-to-day project activities including filing, note taking at team meetings, or at meetings with partners, circulating documentation/materials, compilation of documents for meetings or project activities, the development of the quarterly and monthly plans, and communication of project activities with HAIVN communication officer.
  • Assist project team members in conducting on-site technical assistance visits or organizing training activities at partner sites. Assist in compiling documents for training and/or preparation of the activity reports or documentation. Assist with translation of trip reports as needed. 
  • Under guidance of Senior Project Coordinator, support the preparation of materials/documents for project training activities, and assist team members in their following up
  • Assist in arranging meetings, update the office calendar of project activities in the work plan.
  • Arrange and coordinate travel plans of international/national team members for technical assistance and/or study tour
  • Provide translation and interpretation for international team members (English-Vietnamese).
  • Undertake other tasks as required.

Direct reporting:

  • Senior Project Coordinator

Required Experience

  • University Degree or equivalent
  • At least 1-2 years working experiences in a similar position
  • At least three years of experiences working in public health projects
  • Vietnamese and English interpretation and translation.

  • Good computer and information technology skills
  • Fluent in oral and written English
  • Highly responsible, organized person with attention to details
  • Good personal communication skills to communicate and maintain contact with partners and team members
  • Able to work both independently and as team member
  • Able to work under pressure, to meet deadlines
