Project Assistant cum Interpreter

Project on support to the improvement of the social assistance system by United Nations Development Program in Vietnam (UNDP) and Ministry of Labour - Invalids and Social Affairs (MOLISA)

The project assistant cum interpreter will work under direct supervision of the National Project Manager (NPM); and assist in all aspects of project management by providing administrative and secretarial services as well as providing translation/interpretation services.

Duties and Responsibilities:

Assistant

  • Assist Project director/ project manager to manage, coordinate, supervise the progress, performance quality of the project activities; supervise and monitor the administrative activities, accountant; report daily progress to the Project director/ Project manager.
  • Co-ordinate with the person in charge to support them operate meetings, workshops, trainings, fieldtrips and other activities including prepare documents, telephoning and logistic activities, etc.
  • Prepare documents, letters under the guidance/ permission of Project director /Deputy Project director and/or Project manager.
  • Assist Project director / Project manager to draft up the annual progress report and the quarterly report, and the related reports.
  • Assist drafting and synthesize annual work plan, quarterly work plan of the project.

Interpreter

  • Translate documents/ letters between Vietnamese and English
  • Interpret Vietnamese to English and reverse in the meetings, workshops, conferences, etc., for the Project director / Project manager and international or national consultant as requested.
  • Assist Project manager to arrange simultaneously services in the conferences, workshops and trainings of the project, to ensure the translate quality fulfilled; translate documents after approved by the project management.
  • Other activities assigned by the Project manager.

Qualifications and Requirements:

  • University degree on English translation and 1-3 years relevant experience as administrative assistant/secretary in donors-funded projects and/or international organization.
  • Relevant software skills, including Word, PowerPoint, Excel, Outlook, website management and internet searching/researching.
  • Knowledge and experience in general office practices and administrative procedures.
  • Knowledgeable about Vietnam and donors-funded procedures and regulations. Experienced with UN funded projects and regulations would be an advantage.
  • Fluency in English both oral and written.
  • Ability to work in independently and in a team, be open for learning.
  • Translate / Interpret experience from working for other projects and/or international organizations is the advantage.
