Project Support Officer

The British Embassy in Hanoi is part of a world-wide network of 230 Posts, representing British political, defence, economic, trade and consular interests around the world. We are currently looking to recruit a Project Support Officer to join our team for the period of November 2013 – March 2014.

The successful candidate will be providing financial and administrative support to project officers in the effective delivery of their projects; and to the External Political Team during this extraordinarily busy period of time.

Main Duties

- Procurement of goods and services through the Embassy’s accounting system.
- Monthly reservation of funds and updating of the project budget profile.
- Responsible for the chasing of invoices, as well as the checking of invoices in coordination with project owners, and ensuring that payments are made on time.
- Quality control of financial documents sent by implementers. Highlight irregularities to project owners and support them in solving these problems.
- Responsible for logistical arrangements to support the smooth running of project activities; as well as supporting inward and outward visits and organising project-funded events. 
- Supporting inward and outward visits, i.e. arranging air tickets, hotel, travel insurance, in-country transport, provide external interpretation/translation when needed.
- Supporting the organisation of project-funded events such as workshops and conferences i.e. arranging for the translation of documents, banners, booking venues, organising interpretation, ensuring venues are set up on time.
- Drafting and translating diplomatic notes.
- Any other administrative duties as requested.

Requirements

- Relevant work experience, preferably in an international organisation
- Familiarity with an on line accounting system (training will be given)
- Proven record of delivering results, including excellent self management, organisational and planning skills
- Strong oral and written communication skills in both English and Vietnamese
- Strong IT skills; proficient in MS Office applications

The British Embassy offers a competitive remuneration package, including salary, benefits, a leave entitlement and training package.  Specific training and mentoring for the role will be provided for the successful candidate. This may include training in the region. The successful candidate will need to commence security clearance procedures through the Embassy as soon as possible and is expected to commence employment from November 2013.
