Employment Opportunity for a Receptionist to be based in Ho Chi Minh City:

Major duties: Under the overall direction of the Head of Office and the direct supervision of the Human Resources Coordinator, the Receptionist will be responsible for the telephone switchboard duties, and providing daily administrative support to the office and off-side IOM Visa Application Centre Teams in Ho Chi Minh City, more particularly, s/he will: 

Telephone Operator/Postal service, and other Communications

- Receive and direct all incoming telephone calls

  • answer calls quickly within the 3 ringing tones, in English and Vietnamese
  • speak confidently, audibly and distinctly (in either Vietnamese or English)
  • project a friendly, courteous, helpful and competent manner
  • be knowledgeable of and direct calls to the correct responsible person

- Place long distance calls and records the nature (official or personal) of the calls in the log sheet
- If a call cannot be placed, advise the person who requested the call accordingly and takes messages
- Ensure that the default operator position is properly covered during public holidays, and/or when s/he is absent from the post for whatever reason,

Assistance to VACs

Assist Australian Visa Application Centre (AVAC) & Canadian Visa Application Centre (CANVAC) on a daily basis.
- Assist with daily drop-off’s and pick-up’s for visa application centres (fees and documentation, as requested).
- Deliver urgent applications/documents to Consulates when requested.
- Handle application forms sent from Australia to AVAC and DIAC.
- Handle application forms delivery to DIAC and AVAC.
- Assist with other administrative works.

Education/Experience Required:  High school diploma or equivalent.  Several years of work experience in admin, and telephone operator. 

Competence/Skills: Excellent knowledge of English; Excellent computer skills, especially in Word & Excel; Strong interpersonal & intercultural skills; Excellent Customer Service Relations Skills; Excellent Presentation.

Language Proficiency:  Vietnamese, English. Any other language is an advantage.
