Description of duties

Under the direct supervision and guidance of the Medical Epidemiologist (ESR Team Leader), the incumbent will perform the following functions:
1. Screen and route incoming mails, documents and reports to the supervisor with full background information, ensure their distribution, and follow up on deadlines.
2. Draft correspondence on routine matters on own initiatives or from brief instructions, takes notes at meetings as basis for minutes and assist in providing interpretation and translation as and when required.
3. Arrange appointments for supervisor, receive visitors, place and screen telephone calls, respond to routine requests for information, and prepare briefing folders for supervisor's meetings and duty travels.
4. Maintain general and project files.
5. Assist in searching, compiling and maintaining information relevant to the programme, and maintain appropriate follow-up systems on the status of programme implementation.
6. Provide clerical support to the Information and Communications Officer in matters relating to media liaison, translation, interpretation, dissemination and follow up of media releases.
7. Collate and assemble background material and information needed for news releases, press interviews and in the dissemination and translation of relevant materials.
8. Make arrangements for workshops, training courses, meetings, press conferences and interviews, including preparation of related documents.
9. Compile daily press updates on important issues and assist in the translation of routine briefing documents, notes and key Vietnamese press articles, and monitor press coverage for other issues as required in an emergency.
10. Prepare informal translations from English to Vietnamese and vice versa, and assist in interpretation, as may be required.
11. Update ESR website, in English and Vietnamese, as well as the Country Office website.
12. Provide support in the arrangements for translation, editing and printing.
13. Occasionally replace secretarial staff within the office during their absence.
14. Perform other related duties as required.

QUALIFICATIONS REQUIRED:

Education
Essential: Equivalent to graduation from secondary school with training in secretarial and clerical duties.

Functional Skills and Knowledge:
Thorough knowledge of office procedures. Typing skills at required speed. Ability to discern routine from non-routine. Ability to draft correspondence, summary of meetings, and notes for the record, etc. Good computer skills and ability to adapt to various software applications. Ability to work harmoniously as a member of a team, adapt to diverse educational and cultural backgrounds and maintain a high standard of personal conduct.

Experience
Essential: Three years' experience in general clerical duties. Experience in working in media and communications.
Desirable: Experience working in WHO or other international organizations.

Languages
Excellent knowledge of spoken and written English and Vietnamese.
