SNV has been working in Vietnam since 1995 and currently has over 50 national and international experts. SNV Vietnam implements projects in more than 38 provinces across the country, including the poorest and most remote areas. 

In the Mekong Delta of Vietnam, SNV Vietnam is implementing the project Transforming the Rice Value Chain (TRVC) for Climate Resilient and Sustainable Development (TRVC) in An Giang, Dong Thap, and Kien Giang provinces. The project aims to use a results-based financing mechanism to incentivize private enterprises in the rice value chain (RVC) to invest in scaling sustainable rice production among smallholder farmers (SHFs) and marketing domestically and internationally in the most rice intensive production provinces over five years (2022 2027). It is built on three core strategic objectives, namely (1) improving climate resilience, (2) optimizing rice value chain linkages, and (3) developing carbon markets. The TRVC project aims to build on the successes of the AgResults Vietnam Emission Reduction Challenges Project (AVERP), which piloted the results-based prize incentive model in the Thai Binh province to attract a diverse pool of private sector actors to implement improved rice farming practices.

We are seeking a highly organized and proactive Senior Program Assistant to provide efficient administrative and logistical support for the TRVC project.  

Together with the Program Assistant, this role will ensure smooth project implementation by handling all logistical arrangements, managing documentation, and supporting event-related financial tasks. The Senior Program Assistant will ensure the timely and effective execution of project activities and assist the project team in maintaining organized and accurate records.

Job Description

Key Responsibilities: 

1. Logistical Support: 

  • Coordinate all logistics for project activities, including workshops, meetings, field visits, and events. 
  • Arrange travel, accommodation, and transportation for project staff, stakeholders, and visitors as needed. 
  • Ensure that venues, materials, and equipment for events and meetings are secured and ready for use. 

2. Event Organization and Financial Support: 

  • Assist in planning, budgeting, and managing expenses for project events and meetings. 
  • Track and process payments related to event logistics, ensuring compliance with the project’s budget and financial procedures. 
  • Maintain records of financial transactions and expenses related to events and meetings. 

3. Documentation and Filing: 

  • Maintain an organized filing system for all project-related documents, including contracts, reports, meeting notes, and correspondence. 
  • Ensure proper storage and easy retrieval of both physical and digital project documents. 
  • Upload and manage project documents on shared drives, ensuring up-to-date access for team members. 

4. General Administrative Support: 

  • Provide general administrative assistance to the project team, ensuring smooth daily operations. 
  • Assist with scheduling and preparing materials for meetings and events, including agendas and reports. 
  • Maintain communication with vendors, service providers, and project staff as required to ensure timely execution of tasks. 

5. Financial Transactions: 

  • Record and monitor financial transactions related to the TRVC project, ensuring adherence to SNV’s financial policies. 
  • Assist in the preparation of financial reports for events, meetings, and other project activities. 
  • Reconcile event-related expenses and ensure that financial documentation is complete and accurate. 

Qualifications

Education: University degree in business administration, business management, development, or a related field. 

Experience: Minimum of 4 years of relevant experience in administrative or program support roles, preferably in international development or with non-governmental organizations. 

Skills and Abilities: 

  • Strong organizational and multitasking skills, with a focus on accuracy and timeliness. 
  • Excellent written and oral communication skills in English and Vietnamese. 
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and digital tools for document management. 
  • Ability to maintain a high level of attention to detail, ensuring efficient handling of sensitive information. 
  • Capability to manage logistics and finances related to project events and meetings. 
  • Ability to work independently and ensure that tasks are completed in a timely manner. 
  • Willingness to travel within Vietnam, especially to the Mekong Delta region.
