Established in 1951, IOM is the leading inter-governmental organization in the field of migration and works closely with governmental, intergovernmental and non-governmental partners. IOM is dedicated to promoting humane and orderly migration for the benefit of all. It does so by providing services and advice to governments and migrants.
Organizational Context and Scope:
Under the overall supervision of the Chief of Mission (COM) and direct supervision of the Head of Projects and Partnerships in IOM Viet Nam and in collaboration with relevant units in the Country Office, the incumbent will be responsible and accountable for supporting the timely and quality reporting, proposal development, briefing and correspondence.
Responsibilities and Accountabilities:
- In close coordination with project teams, provide specialized support to the Head of Projects and Partnerships with reporting activities, including drafting and editing reports for internal management, donors, relevant IOM offices and partners.
- Serve as contact person/link between the Head of Projects and Partnerships and project teams regarding project reporting issues; keep project teams informed by sharing meeting minutes, latest reports and other relevant information;
- Under the overall guidance of the Head of Projects and Partnerships, support the drafting of concept notes and project proposals, maintaining alignment with organizational objectives and donor requirements; and prepare summaries of relevant reports available both internally and externally to facilitate evidence-based decision-making.
- Support the COM and Head of Projects and Partnerships to draft correspondence and independently obtain clarification; conduct research and select information from various sources and present findings in appropriate form to support preparation of briefing material for the management review and discussion.
- Liaise with appropriate project staff to coordinate timely submission of inputs to publications, internal and external reports, and other documentation.
- Support knowledge management efforts by curating and disseminating key updates, developments, and resources; maintain an organized and accessible repository of relevant files and documents to promote information sharing and collaboration.
- Undertake duty travel as needed.
- Perform such other duties as may be assigned.
Required Qualifications and Experience
EDUCATION
- High School diploma with seven years of relevant working experience; or,
- Bachelor’s degree in Development Studies, Migration Studies, Social Sciences, or related field with five years of relevant professional experience.
EXPERIENCE
- Relevant experience such as project development, reporting, and research;
- Attention to detail, ability to organize paperwork in a methodical way;
- Discreet, details and clients-oriented, patient and willingness to learn new things; and,
- Prior work experience with international organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
SKILLS
- Excellent command of written English.
- Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, E-mail, Outlook.
- Knowledge with tools and strategies for data collection and analysis, and production of reports preferred.
