Senior Visa Officer

The Australian Embassy in Hanoi is seeking applications to fill the position of Senior Visa Officer.

The successful candidate will be located at the Australian Embassy in Hanoi and will initially be employed on a full-time contract for 12 months with the possibility of an extension.

SUMMARY OF DUTIES AND SELECTION CRITERIA

Duties

Senior Visa Officers assist the Senior Migration Officer with the operational management of the Visa Processing team and may undertake data collection, status reports and supervisory responsibilities as required. 

The key responsibilities for the position include, but are not limited to:

  • Manage, assess and decide on moderately complex or complex visa and citizenship cases
  • Initiate security checks and refer cases for integrity checking
  • Ensure ongoing program integrity by maintaining awareness of integrity issues
  • Prepare moderately complex or complex correspondence and submissions for senior staff (for example reviewing submissions to request visa waivers)
  • Assist the Senior Migration Officer with the coordination of team work/activities and contribute to work area planning
  • Provide advice to Visa Officers with moderately complex or complex and/or escalated enquiries
  • Provide on-the-job training and mentoring to Visa Officers
  • Receipt payments taken at the counter in accordance with revenue collection guidelines
  • Deal with client enquiries made at the counter or via phone/email
  • Interview clients and make requests for more information via face-to-face contact, email or phone.  Liaise with internal or external clients as a representative of the work area
  • Undertake office and case related administration, including filing
  • Handle accountable documents, client information, and personal identifiers with high levels of confidentiality and privacy
  • Maintain, record and use information stored on departmental systems.

Selection Criteria

  • General knowledge on border management / protection, immigration, Australia’s immigration laws, illegally migrated Vietnamese and the related issues; 
  • Demonstrated ability to elaborate notes, correspondences and reports; plan, prioritise, and schedule time and to meet deadlines within a fast-paced environment;
  • Demonstrated capacity to work independently and as part of a team and maintain a supportive and collaborative work environment;
  • Very good verbal and written communication (in both English and Vietnamese), including ability to perform translation/interpretation tasks
