Supplier to Provide Workshop Organizing Services in Ho Chi Minh City (HCMC)

Wildlife Conservation Society, Viet Nam Program (WCS) is seeking for Supplier(s) who provides workshop organizing services for 2 training workshops in HCMC as follows:

Workshop 1: 20/6 and 21/6AM (1.5 days)

Workshop 2: 22/6 and 23/6AM (1.5 days)

1. Requirements for companies participating in the bid:       

• has at least 5 years of experience in organizing event, workshop.
• has organized at least 5 workshops with similar number of participants and length of of events for state/governmental organizations/agencies
• commits to have at least 2 supporting/coordinating staff with more than 3 years of experience in similar events to support on site for each workshop

2. Requirements for venues:

• Hotel is with standard of 3 - 4 star.
• The hotel is with new and good infrastructure. Hotels built in 5-10 recent year or renovated in 3 recent years is preferred.
• The meeting room area is of 250-350m2
• The meeting rooms are with suitable shape (not being too narrow or too short), without columns obstructing view, ceiling of 3m or higher, with open view (by large door or windows).
• The hotel has the required number of rooms for the event’s participants. Room’s area is of least 20m2, all rooms have windows or balconies with open views.
• The hotel has restaurant serving Vietnamese cuisine, set menu and buffet. Separate room or area for the workshop’s participants is preferred.
• The hotel has an average of 7/10 review points on tripadvisor, agoda, booking.com

Proposals should be sent in sealed envelope to WCS office at D building, No. 3 Thanh Cong, Ba Dinh, Ha Noi (hard copy) or to [email protected] (soft copy).

Proposals including:

1. Stamped quotation (attached form)
2. Photos of the suggested meeting rooms and accommodation rooms
3. Menus for meals
4. Brief info. of at least 2 supporting staff at the workshop.
