Pact, an international NGO based in Washington, D.C., works with local
organizations to meet pressing social needs in HIV/AIDS, livelihoods, and
other areas in dozens of countries around the world.  Pact Vietnam is made
up of a growing, dynamic team currently focused on efforts to prevent the
spread of HIV/AIDS and to ensure that those living with HIV/AIDS receive
urgently needed treatment, care, and support. We are seeking a qualified
Vietnamese national to fill a new position.

 

Grants Assistant

Under the supervision of the Grants Officer, the Grants Assistant will
support management of the sub-grants/sub-contracts with partners and ensure
partners' compliance with Pact and donor rules and regulations. 

 

Key responsibilities

*         Act as focal point for collecting information on trainings and
workshops of Pact's and Pact Partners' program and update data on TraiNet
system

*         Organize and safeguard grants files and ensure all documentation
is complete;

*         Provide support to program partners in bidding and solicitation
process;

*         Support GO in preparing Letters of Authorization; Grant
Agreements;  Modifications, Contracts and Amendments;

*         Support desk survey and Performance Capacity Assessment of
sub-partners

*         Support preparation of training materials and organization of
trainings/workshops for Pact partners on grant management, USAID rules and
regulations;

*         Support Pact partners to ensure their compliance with USAID rules
and  regulations and Pact's requirements as stated in the grant agreements;

*         Assist and provide Pact partners with instructions in developing
branding strategies and marketing plans compliance with the Pact approved
branding and marketing plans;

*         Support the improvement and maintenance of grants management and
tracking systems;

*         Support GO in closeout procedures for all grants;

*         Perform translation/interpretation tasks, as needed

*         Contribute to the development of a healthy, effective and
efficient Pact Vietnam.

 

Qualifications, skills and qualities:

*	University degree in administration/or foreign language (English) or
equivalent qualification
*	At least 3 years working experience. Work experience with an
international organization/multinational company is preferred
*	Familiarity with USAID rules and regulations a strong advantage
*	Strong computer skills (Ms Word and Excel)
*	Attention to detail, accuracy and quality 
*	Team spirit a must
*	Flexibility, commitment, and the belief that no task is unimportant
*	Strong spoken and written English
