They are now looking for 02 talented, dynamic and highly motivated Vietnamese individuals for PSI Vietnam Country Office in Hanoi.
Procurement Officer: The Procurement Officer is responsible for providing support in procurement of goods and services for PSI Office and Programs. He/She will ensure that all procurements are in line with PSI Procurement Manual, Finance Manual and donor’s requirements. The responsibilities include but are not limited to:
- Work closely with the Departments to get approved distribution plans and finalize the specifications for goods and services;
- Support with calling for quotations, follow up to make sure suppliers receive the request for quotation and meet our requirements for submission of quotations;
- Assist with procurement procedures such as preparation of canvass, Purchase Orders/contracts; liquidations…
- Work with the suppliers to ensure the mock-up are approved and the products are delivered on time;
- Manage the Vendor Database to ensure that the database is accurately updated on a monthly basis;
- Manage the system of samples at PSI office.
Warehouse Management Officer: The Warehouse Management Officer is responsible for providing support in management of PSI’s warehouses and stock to ensure the safe, efficient and accurate operation of the warehouses and storage functions. The responsibilities include but are not limited to:
- Assist Senior Administration Coordinator and closely coordinate with Warehouse Keeper in receiving and distributing of male condoms, female condoms, water-based lubricants and other products and promotional items;
- Conduct monthly inspection tour to the main warehouse; prepare reports and propose suggestions for the improvement of the warehouse management system
- Support with quarterly inventory check for products and semi-annual inventory check for IEC materials and promotional items;
- Closely work with Program team to get the signed monthly inventory reports from the field; Update the promotion management database with these verified reports; Generate closing reports as required
- Coordinate with transportation companies and partners to ensure that products are delivered to the right recipients, right quantity, on time and in good conditions;
- Manage the stock bin cards for all warehouse transactions to ensure that the list is accurately updated on the daily basis
Requirements:
- University degree (in administration/ finance/accounting or related field);
- Fluent in spoken and written English;
- Experiences in procurement/ purchasing (for Procurement Officer) or warehouse management/ supply chain (for Warehouse Management Officer) is a preference
- Good command of email system, MS Office applications (Word, Excel, Power Point), knowledge of MS Access is an asset;
- Excellent communication, problem solving and time management skills;
- Pro-active, well-organized, careful, attentive to details, result-oriented and highly responsible
- Able to quickly pick up new skills, to work well under pressure, to work independently and as a team member
