Bread for the World (BftW) is the globally active development and relief agency of the Protestant Churches in Germany. The organization is a member of various national and international networks and works closely with other aid agencies. The Regional BftW Office in Hanoi is supporting local partner organisations in Vietnam and Laos in empowering people to overcome poverty and strive for an inclusive socio-economic development with strong emphasis on bioversity and environmental protection.
The Regional BftW Office in Hanoi is looking for logistic services
handling various trainings and workshops in Vietnam and Laos during the period 3/2020 to 12/2022.
Main duties regarding the planning, implementation, coordination and control of the logistic services:
- Booking of cost-effective economy flights and hotel rooms with regards to BftW cost norms for partners and consultants with the BftW authorised contracted travel agency and hotels
- Follow up partners and consultants travel information and apply for visa if necessary
- Booking of contracted training and workshop venues considering the number of participants and specific training requirements like the availability of appropriate facilities for simultaneous interpretation, flipcharts, mobile partitions, stationary, etc.
- Manage system of cost-effective car-pooling to and from the training/workshop venue
- Collect all necessary partners’ travel documents like boarding pass, hotel bills, etc., check for completeness, compliance with BftW standards and cost norms, including the formal, arithmetical and material accuracy of data and facilitate the reimbursement
- Provide a final financial report about the activity and financial statement
Requirements
- Track record of logistic services for international Civil Society Organisations
- Knowledge on (international) training and workshop requirements
- Capacity to provide contracts, orders and financial clearing and settlements taking in account the principles of sound financial and economic management
- Fluent in English, Vietnamese and/or Lao language
- Readiness traveling to Laos and within Vietnam
All tasks have to be delivered timely and in close cooperation with the Administration and Finance Unit of the Regional Office taking into account environmental and climate protection
