Job summary

Reporting to the Country Director, the Fundraising and Sponsorship Program Coordinator supports all organizational fundraising and marketing events and activities. The Coordinator is responsible for maintaining donor records and generating reports, to assist in managing donor relations, coordinates special events and arrangements for volunteer opportunities, attends fundraising events, manages the sponsorship program, and is a member of the accounting team.

Humanitarian Services for Children of Vietnam (HSCV) is seeking a Vietnamese National to fill the position as Fundraising and Sponsorship Program Coordinator in Tay Ho, Ha Noi.

Responsibilities and Duties 

- Fundraising

  • Collaborate with the Country Director to plan and execute fundraising activities, including but not limited to, special events and online campaigns
    • Develop/oversee/support fundraising activity plans that maximize participation/contributions and minimize costs
    • Develop/oversee/support fundraising activities such as annual giving campaigns, matching grants and sustaining donors
    • Prepare materials and coordinate supplies for fundraising/marketing events
  • Support/develop and compile materials to submit to granting or other funding organizations
  • Support the design of marketing materials such as posters, newsletters, website, social media and brochures
  • Identify, build and maintain relationships with potential and existing donors
  • Maintain donor database
  • Support fundraising events and activities organized by board members and other supporters (including those outside of the Vietnam, through online communication)
  • Contact corporate representatives, governmental officials or community leaders to increase awareness of organizational causes, activities or needs
  • Assist as needed with attending community events, meetings or conferences to promote organizational goal or solicit donations or sponsorships
  • Solicit cash or in-kind donations or sponsorships from individual, business or government donors

- Sponsorship Program

  • Oversee the daily and long-term management of the HSCV Sponsorship Program
  • Maintain sponsorship database
  • Coordinate donor sponsorships
  • Correspond with donors
  • Keep sponsorship profiles updated

- Co-Account

  • Data Entry of  incoming and outgoing funds
  • Balancing and account reconciliation
  • Report Generation in accordance with organizational systems and procedures
  • Support Bookkeeper with Petty Cash

- Support the liaising with governmental authorities, and partner organizations

- Support the receiving of visitors

The Fund Raising and Sponsorship Coordinator will report directly to the Country Director and will work directly the Country Director with the development and implementation of strategic plans for fundraising.

Minimum Qualification and Experience Requirements:

  • Bachelor degree preferably in Marketing, Communications, Business Administration or Management or related field
  • Two years of fundraising experience development and/or marketing
  • Experience working with/within NGOs, or other Non-profit organizations
  • Demonstrated ability to meet deadline and fundraising targets
  • Effective verbal and written communication skills
  • Financial & strategic-planning skills and experience
  • High Proficiency in English

Preferred Skills/Qualifications:

  • Strong computer and data entry skills: MS Office, internet and ability to learn new programs
  • Experience mobilizing online communities to make and impact and an interest in social media trends
  • Basic accounting skills
  • Experience with using Salesforce and/or Quickbooks
  • Experience working within Western managed organizations

Compensation and Benefits

  • Salary based on qualifications and previous experience

  • Normal working hours are Monday – Friday from 8:00am – 5:00pm with lunch and breaks
  • Some weekend work is required
  • National Holidays off as well as 12 personal days in the first year, 22 personal days every year after
