PSI currently seeks a talented and motivated Warehouse/Finance Officer to work full-time with our dynamic, results-oriented team in Hanoi:

Job Title: WAREHOUSE/FINANCE OFFICER
Report to: To be decided (TBD)

Job summary:

The Warehouse/Finance Officer is responsible for providing support in management of PSI’s warehouses and stock to ensure the safe, efficient and accurate operation of the warehouses and storage functions. He/she will also support daily finance works in accordance with PSI system requirements. He/She will input sales invoices to reconcile with the monthly sales report at all levels.

Key responsibilities:

  • Work closely with supervisor in daily management of the warehouse operation in compliance with PSI Warehouse Manual: Receipt and dispatch of commodities, IEC materials, IPC tools and promotional items; follow up receiving and returning items by requesters; coordinate sending items to requesters; manage samples, promotional materials, health products and assets at PSI’s warehouse(s)
  • Stock and reconcile items. Manage and update the stock bin cards; provide periodical reports and whenever required;
  • Serve as focal point for warehouse routine works, monthly schedule stock check and ad-hoc visits;
  • Supervise the Warehouse Keeper on daily warehouse management to ensure inventory is in good condition in compliance with PSI Warehouse manual and up-to-date items quantity
  • Work daily with QBE system
  • Review and keep filing Finance/Procurement documents, scan documents to QBE system to ensure compliance with guidelines
  • Enter sales invoices and perform cross check with M&E for any discrepancy in sales report and process payment
  • Work closely with procurement to ensure all quotations and other necessary processes are properly documented
  • Back up for finance team in processing payments, check financial reports and supporting documents from sub-contract partners, provide support for sub-award documents filing and ensure tools for sub-award management are all documented.
  • Provide second back-up to ensure professional front office coverage when the Admin Officer is out of office and/or translation -as appropriate

Selection criteria:

  • Bachelor’s degree in finance / accounting or similar.
  • At least 2 years of experience in finance and accounting.
  • Good English - written and verbal communication skills.
  • Detail-oriented and well-organized – an advantage
