ORGANIZATION DESCRIPTION:
Friends for International TB Relief or “FIT” is a registered non-profit organization whose work is based on the vision of a world free of Tuberculosis (TB). Our mission is to promote progress on the field of TB prevention and to stop the spread of the disease.
Over the past three years, we have actively participated in the eradication of TB by providing financial and technical assistance to local organizations involved in TB care and control in India and Vietnam. Simultaneously, we engaged in advocacy work through fundraising events in Germany and other industrialized countries to contribute to build and improve awareness about this global threat.
In particular, since 2014 we have been supporting the implementation of a grassroots TB elimination intervention based on a holistic package of outreach activities, stakeholder engagement and comprehensive care. Besides our project work in high TB burden countries, FIT also organizes events to strengthen the awareness and understanding about TB.
FIT was founded in 2012 and consists of TB activists as well as former patients. Our members reside all over the world ranging from Germany to Vietnam, Australia and the U.S., where they do their part in raising awareness and fighting the disease. Past and current partners include the Global Health & Education Trust, Otsuka, Stop TB Partnership, RESULTS Australia, HCMC Public Health Association, Vietnam National TB Control Program, Johnson & Johnson and most recently via the IMPACT TB project FIT has received funding from the European Union’s Horizon 2020 research and innovation programme under grant agreement No 733174.

PRINCIPLE ACCOUNTABILITIES: Responsible for financial management and administration of assigned project/grants to ensure all financial transactions are correctly recorded, maintained and comply with the finance and accounting system, policies and procedures of FIT and donors, along with general accounting practices and legal requirements.
JOB RESPONSIBILITIES:
1. Technical Specifics:
- Review disbursement vouchers related to project budget charges.
- Review monthly detailed transaction listing from accounting system and provide recommendation for any adjustment if needed to ensure the correctness of accounting records and budget availability.
- Review and follow-up on all outstanding advances for assigned projects on a monthly basis to ensure timely settlement of amounts due and align with project implementation timeframe.
- Register all outgoing contracts for assigned projects into Excel spreadsheets regularly to ensure necessary spending accruals and payments.
- Set-up new project budget and chart of accounts for projects; create in the accounting system.
- Review and provide feedback on third-party, consultant contracts for assigned projects.
- Assist in supply procurement, inventory management and maintaining the fixed asset register for assigned projects.
- Provide support to Finance and Accounting Manager in the developing, monitoring and review of financial policies, procedures, and assigned project budgets.
- Act as the main focal person to advise and respond to any financial related matters to project staffs, and related partners.
2. Monitoring and Evaluation, Reporting
- Prepare and provide justification for monthly/quarterly assigned project financials along with detailed transaction listing to provide a clear view and status of the project budget spending and highlight concerns if any for timely action.
- Prepare the required voucher list for donors to ensure timely and accurate following donor template requirements.
- Prepare donor’s financial report on quarterly basis and update Finance and Accounting Manager and Program Manager/ Director for review.
- Assist to monitor project cash flow and prepare fund request to the donors if needed.

REQUIREMENTS:
- Bachelor’s degree in accounting, finance, or a related field;
- At least three years of experience working in finance and accounting management;
- Experience in project financial management and using accounting software (preferably Quickbooks);
- Experience in implementing and monitoring the compliance of finance and accounting system, policies and procedures, preferably the context of an international organization;
- Fluency in written and spoken English and Vietnamese language;
- Ability to balance numerous tasks simultaneously and meet tight deadlines;
- Proficiency in MS Office, especially MS Excel;
- Keen attention to detail and analysis;
- Good attitude, self-motivated, and ability to work well individually as well as in teams.
